Job Description

We are seeking an experienced Patient Scheduling and Reactivation Specialist with at least 3 years of experience in dental front-office operations, patient scheduling, treatment coordination, or patient services. This role will focus on maximizing appointment opportunities across multiple dental locations by scheduling patients, reactivating inactive patients, following up on pending treatment, and filling schedule gaps.

The ideal candidate is Spanish bilingual, highly organized, empathetic, and confident communicating with patients. The goal is to help patients receive the care they need—not to use high-pressure sales tactics.

Key Responsibilities

  • Appointment Scheduling: Schedule and manage treatment appointments across all Excel Dental locations using Denticon or similar dental practice management software.
  • Recall Outreach: Contact patients who are due for routine recall visits and proactively bring them back onto the schedule.
  • Patient Reactivation: Identify inactive or overdue patients and conduct targeted outreach to re-engage them and encourage them to return for care.
  • Pending Treatment Follow-Up: Follow up with patients who have received treatment plans but have not yet scheduled their recommended procedures or services.
  • Schedule Gap Management: Monitor cancellations and open appointment slots and proactively contact eligible patients to maximize schedule utilization across all 9 locations.
  • Patient Communication: Conduct professional, warm, and empathetic patient outreach by phone and other communication channels.
  • Maintain accurate and timely documentation of patient outreach, scheduling activity, and follow-up efforts.
  • Coordinate with dental office teams to ensure patients are scheduled appropriately and have a positive experience throughout the process.
  • Follow established workflows and communication standards while maintaining patient confidentiality and HIPAA compliance.

Qualifications

  • 3+ years of relevant experience in dental scheduling, treatment coordination, dental front-office operations, or patient services.
  • Spanish bilingual proficiency is required.
  • Portuguese and/or Haitian Creole proficiency is a strong plus.
  • Previous experience working in a dental practice or dental healthcare environment.
  • Ability to educate and assist patients without using high-pressure sales techniques.
  • Ability to manage multiple locations, schedules, and patient follow-ups efficiently.
  • Comfortable working independently in a fast-paced, high-volume environment.
  • Hands-on experience with Denticon practice management software.
  • Experience working within a multi-location dental practice or DSO environment.
  • Experience managing patient reactivation campaigns, recall programs, or unscheduled treatment follow-ups.
  • Experience with dental treatment plans and coordinating procedures with providers and patients.
