Job Description
We're hiring a detail-oriented Participant Scheduler to manage scheduling and logistics for a large-scale research study based in New York City. You'll keep our participant pipeline full by managing appointments, confirmations, rescheduling, and cancellations for a daily target of 60 completed participants.
What You'll Do
- Manage participant scheduling systems and track appointment status
- Schedule qualified participants into available study sessions
- Send confirmation messages 24-48 hours before sessions
- Make phone calls and send text messages to confirm attendance, handle rescheduling, and manage cancellations
- Maintain participant records and scheduling trackers
- Coordinate with the onsite NYC team on attendance, gaps, and replacements
What We're Looking For
- 2+ years of scheduling, appointment setting, or customer service experience
- Comfortable managing high-volume appointments and schedule changes
- Strong written and basic verbal communication skills (English)
- Highly organized; excellent attention to detail
- Comfortable with cloud-based scheduling systems (Calendly, Asana, Google Sheets, etc.)
- Available during US Eastern Time business hours: 8 AM – 5 PM EST, Monday–Friday (approximately 9 PM – 2 AM Philippines time). Hours will vary based on project needs; not full-time but flexibility required during these hours.

Contract Details
Position Type: Temporary hourly remote contract
Duration: September 29 – November 4, 2026 (with pre-project setup starting mid-September)
Schedule: 8 AM – 5 PM EST, Monday–Friday. Workload varies: busier on session days (Tue/Wed/Thu) with live confirmations and coordination; lighter on non-session days (Mon/Fri) with proactive scheduling and follow-ups.
Pay: $10/hour USD (based on experience)
Equipment: You'll need reliable internet and a computer with video call capability
Preferred Experience
- Participant/user research scheduling or recruitment
- Experience managing 100+ appointments/week
- Familiarity with scheduling or CRM systems
- Cross-timezone coordination experience
