Job Description

Key Responsibilities

  • CRM Management: Own and maintain all workflows, email sequences, tagging, contact management, and funnel automation insideGo High Level.
  • Calendar & Booking Support: Create, update, and manage client appointments and bookings using GHL's calendar function.
  • Inbox & Communication Management: Monitor and respond to client emails and SMS replies in GHL and Outlook; flag complex queries to the directors.
  • Invoice Generation: Create and send client invoices (initially using Canva templates, transitioning to GHL).
  • Social Media Engagement: Respond to DMs and comments across platforms as needed (no content creation required).
  • Website & Funnel Updates: Build and edit landing pages and sales funnels within Go High Level.
  • Client Note Management: Transcribe voice memos into client notes and log them under the correct GHL contact record by date.
  • System Optimization: Set up payment processing, task management systems, and ensure system integrity within GHL.
  • Basic Graphic Editing: Make small adjustments in Canva such as updating brochures, banners, or event details.
  • Task Monitoring & Reporting: Use WhatsApp/Slack and potentially a GHL to-do list to track and report completed tasks daily.

Requirements

  • Proven experience with Go High Level CRM including calendar, automation, funnel building, invoicing, tagging, and email workflows.
  • Attention to detail is critical errors in client info, invoices, or email sequences are not acceptable.
  • Strong administrative skills with a structured approach to organizing daily tasks.
  • Tech-savvy: Able to leverage AI tools like ChatGPT, Bard, Canva, and Otter.ai for productivity.
  • Comfortable with transcribing voice notes and following Loom or audio/video instructions precisely.
  • Proactive communicator comfortable with WhatsApp, Slack, Outlook, and GHL notifications.
  • Able to work independently with minimal supervision, and open to growing into a full-time role.
  • Experience working with wellness or medical businesses (a plus, not required).
