Part-Time Operations & Administrative Coordinator

Job Type: Part-Time (25 hours per week)

Work Hours: Monday to Friday, 10:00 AM to 3:00 PM Eastern Time

Salary: $760 per month

Job Overview:

We are seeking a highly organized, proactive, and detail-oriented Operations & Administrative Coordinator to support day-to-day business operations across administrative support, scheduling, communications, and project coordination. The ideal candidate is resourceful, tech-savvy, and responsive, with the ability to manage multiple priorities in a fast-paced, collaborative environment. This role requires strong communication skills, discretion when handling confidential information, and the ability to anticipate needs before they arise.

Key Responsibilities:

  • Manage calendars, scheduling, and meeting coordination across multiple time zones
  • Organize inboxes and prioritize incoming communications
  • Assist with travel coordination, itineraries, and expense tracking
  • Track deadlines, deliverables, and project timelines
  • Support workflow organization and operational processes
  • Conduct online research and compile clear, concise summaries
  • Draft and proofread emails, documents, and internal communications
  • Help manage Slack channels, project management tools, and team follow-ups
  • Support client or partner communication logistics as needed
  • Ensure timely responses and consistent follow-through across projects

Required Skills & Qualifications:

  • 2+ years of experience as a Virtual Assistant, Executive Assistant, Administrative Coordinator, or similar role
  • Experience working with tools such as Google Workspace, Slack, Zoom, Airtable, Notion, Asana, Monday.com, or similar platforms
  • Excellent written and verbal English communication skills
  • Strong organizational and multitasking abilities
  • High level of professionalism, discretion, and reliability
  • Ability to work independently and proactively solve problems
  • Comfortable working flexible hours aligned with EST
  • Reliable internet connection and remote work setup
  • Content publishing or media industry experience is a plus
  • Highly organized and responsive
  • Calm under pressure and adaptable to shifting priorities
  • Strong attention to detail and follow-through
