Job Overview:
We are seeking a highly organized and versatile Legal & Executive Assistant to provide both legal and administrative support. This role requires a proactive professional who can manage multiple responsibilities, balance priorities effectively, and adapt to evolving needs. Experience as a Bankruptcy Paralegal or in bankruptcy law is highly preferred, particularly supporting attorneys handling complex cases. The ideal candidate has experience in legal support, is highly proficient in key tools and systems, and is comfortable assisting with executive-level administrative tasks. This role will start at 20 hours per week, with the opportunity to expand as responsibilities grow.
Key Responsibilities:
- Core Legal Support
- Provide legal support, including document preparation, legal research, and case management
- Assist with drafting, reviewing, and organizing legal documents and correspondence
- Manage and maintain case files and documentation using Clio or similar case management systems
- Maintain accurate and well-organized records across all systems
- Bankruptcy / Paralegal Support
- Assist with the preparation, drafting, and e-filing of legal documents
- Support case filings and maintain docket and document tracking
- Monitor deadlines and maintain critical date calendars
- Assist with hearing and case preparation (e.g., agendas, binders, and supporting documents)
- Coordinate with attorneys, clients, and other parties involved in cases
- Perform basic filings or support e-filing processes via CM/ECF (if applicable)
- Client & Case Coordination
- Coordinate communications with clients and other stakeholders
- Executive & Administrative Support
- Provide executive-level administrative support, including calendar management, email coordination, and task tracking
- Handle data management, reporting, and organization using Microsoft Excel
- General Responsibilities
- Assist with general administrative tasks and ad hoc projects as needed
- Adapt to shifting priorities and support multiple functions as the role evolves
Required Skills & Qualifications:
- Proven experience as a Legal Assistant, Executive Assistant, or in a similar hybrid role
- Bankruptcy paralegal experience or exposure to bankruptcy/legal proceedings is highly preferred
- Strong legal experience, preferably within established or larger law firms
- Experience working with US-based legal teams or clients
- Strong legal research skills and ability to synthesize information effectively
- Familiarity with legal workflows, case management, and documentation processes
- Hands-on experience using Clio
- Advanced proficiency in Microsoft Office Suite, particularly Excel
- Familiarity with CM/ECF (Case Management/Electronic Case Files) for e-filing is preferred
- Ability to quickly learn and adapt to new legal and administrative tools
- Excellent organizational skills and ability to manage multiple tasks simultaneously
- Proven ability to handle multiple responsibilities across legal and administrative functions
- Strong attention to detail and accuracy
- Excellent written and verbal English communication skills
- Ability to work independently and adapt in a fast-paced, evolving environment
- High level of professionalism and discretion when handling sensitive information
Schedule Requirement:
- No work may be performed during Shabbat and Jewish holidays, observed from sundown to sundown.
