We are a US-based, multi-brand e-commerce company operating several direct-to-consumer brands.
We are seeking an experienced Part-Time Bookkeeper to manage accounting for three companies using QuickBooks. This role is responsible for keeping all books accurate, up to date, and executive-ready. The ideal candidate is detail-oriented, a fast learner, and able to work independently with minimal oversight, since this role handles sensitive financial and confidential information.
This position will also involve bringing all three companies fully up to date by uploading and reconciling historical receipts, invoices, and transactions from August 2025 through January 2026.

Key Responsibilities
Bookkeeping & Reconciliation
- Upload and categorize receipts and transactions for all three companies
- Upload and reconcile historical receipts, invoices, and transactions (Aug 2025–Jan 2026)
- Complete monthly bank and credit card reconciliations
- Reconcile Bill.com transactions, including vendor bills, invoices, and payments
- Reconcile sales across multiple channels, including Shopify, marketplaces, and payment processors
- Ensure sales, fees, refunds, and payouts are accurately recorded and matched to bank deposits
- Maintain accurate and current general ledger
- Perform journal entries (J/E) as needed (accruals, adjustments, corrections)
Financial Reporting & Oversight
- Prepare and deliver monthly financial reports for the President, including:
- Profit & Loss
- Balance Sheet
- Cash Flow overview
- General Ledger
- Update and maintain budget spreadsheets and financial tracking files used for different reports
- Ensure financial reports align with budgets and flag variances
- Maintain and monitor the balance sheet for accuracy
- Provide clear visibility into cash flow trends
- Proactively notify leadership when costs increase, expenses spike, or anomalies appear
Executive Support & Communication
- Participate in a weekly executive meeting to:
- Review reconciliations
- Review Bill.com activity and outstanding items
- Review sales reconciliation across channels
- Review budget vs. actuals and financial trends
- Discuss financial status and cash flow
- Address questions on current or past transactions
- Investigate and resolve discrepancies across QuickBooks, sales platforms, Bill.com, bank records, and budget reports
- Ensure leadership has confidence in the accuracy and clarity of financials
Required Qualifications
- Proven experience as a Bookkeeper managing multiple companies (3+ years of bookkeeping experience required)
- Strong expertise in QuickBooks (Online or Desktop)
- Hands-on experience reconciling:
- Bill.com invoices, bills, and payments
- Multi-channel sales (Shopify, marketplaces, payment processors)
- Journal entry (J/E) capability is a must
- Experience with bank, credit card, vendor, and revenue reconciliation
- Strong understanding of financial statements and the general ledger
- High attention to detail and accuracy
- Demonstrated ability to work autonomously with confidential financial information
- Comfortable working directly with executives
- Reliable, organized, and proactive communicator
Preferred Qualifications
- Experience supporting e-commerce or subscription-based businesses
- Ability to identify cost trends, margin changes, and flag financial risks
- Experience cleaning up or catching up historical books
- Familiarity with tools such as Shopify, Amazon Seller Central, Stripe, PayPal, Bill.com, Ramp, or similar
Time Commitment & Compensation
- 32–40 hours per month
- Flexible schedule with required attendance at weekly executive check-ins
- Compensation commensurate with experience
