Job description:

Responsibilities of the role (including, not limited to):

The successful candidate will be responsible for a blend of substantive legal support, client management, and administrative excellence, including:

Core Legal Support & Client Management

  • Draft, proofread, and finalize a wide array of legal documents, including contracts, agreements, corporate filings, and closing binders, ensuring accuracy and compliance.
  • Serve as a professional point of contact, communicating and corresponding with clients, counsel, and third parties via email, phone, and formal letters to advance client matters.
  • Assist in managing the end-to-end lifecycle of client legal matters, including tracking critical deadlines, organizing case files, and helping to keep clients informed.
  • Conduct targeted legal research and review of statutes, case law, and specific provisions (e.g., tax) using established legal databases to support case strategy and transactional work.

Administrative & Operational Excellence

  • Develop, implement, and maintain efficient, secure digital documentation and filing systems for all client and firm materials.
  • Prepare, collate, and distribute sensitive document packages with meticulous attention to organization and confidentiality.
  • Professionally manage all inbound telephone calls and emails, serving as the first point of contact and exercising sound judgment to triage inquiries.
  • Produce high-quality business documentation, including presentations, briefs, memos, and reports, utilizing advanced features of the Microsoft Office Suite.
  • Assist in the drafting, writing, and maintenance of internal company policies, procedures, and operational guides.
  • Support the firm's billing processes as required, which may include time entry assistance and draft invoice preparation.

General Support & Team Collaboration

  • Provide comprehensive administrative support to Directors and team members, including complex calendar management, travel coordination, and meeting preparation.
  • Collaborate effectively with all levels of staff, demonstrating a proactive, team-oriented, and adaptable approach to daily tasks and challenges.

Qualification and requirements:

Education & Credentials:

  • Paralegal Certificate/Diploma from an ABA-approved or accredited program, OR an Associate's/Bachelor's degree in Legal Studies, Criminal Justice, or a related field.
  • Demonstrated foundational knowledge of legal terminology, procedures, and document types.

Required Experience & Skills:

  • 1-3 years of experience in a legal office environment (law firm, corporate legal department, or professional services firm).
  • Prior experience providing high-level administrative support to executives or attorneys is essential.
  • Advanced proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) is non-negotiable.
  • Superb writing, editing, and proofreading skills with impeccable grammar and attention to detail.
  • Proven ability to conduct legal research.
  • Strong experience with document and file management systems; familiarity with a Document Management System (DMS) is a plus.
