Job Description

The snapshot

Staffstream is hiring a Para-Broker for an Australian finance and insurance brokerage specialising in commercial and residential lending. The Director manages the client relationships and leads the loan process; the Para-Broker is the operational engine that keeps everything moving between the key milestones.


You'd act as the operational backstop across all active deals — maintaining key dates and milestones, sending client communications and follow-ups, chasing outstanding information, performing loan calculations and research, and moving applications through each stage of the process. When required, you'd also take client calls and handle direct communication on behalf of the business. This is not an entry-level position: the business needs someone who already understands how Australian loan applications work, what lenders require, and how to manage a live pipeline without losing track of outstanding actions.


 


What you will actually do

Pipeline management & application progression



  • Manage the active loan pipeline in the CRM — maintaining accurate, up-to-date records for each deal, tracking key dates and milestones, and ensuring every application's status reflects its real position in the process at all times.

  • Monitor the progression of 10 to 15 concurrent deals at varying stages — identifying where applications have stalled, what outstanding actions remain, and what needs to happen next to keep each deal moving toward completion.

  • Manage deal timelines across a mix of commercial and residential transactions, recognising that larger commercial facilities may sit in the pipeline for one and a half to two months and require sustained, organised attention throughout their lifecycle.



Client communication & follow-up



  • Send client notifications, update emails, and follow-up communications throughout the loan process — keeping clients informed, managing expectations, and ensuring they know what is required of them and when.

  • Follow up outstanding information and documentation from clients, accountants, valuers, lenders, and other parties — applying persistent, professional follow-up that keeps the application moving without the Director managing every touchpoint.



Research, calculations & lender support



  • Conduct research to support loan applications — including lender policy research, product comparisons, rate and fee analysis, and other information gathering that supports the Director in structuring and submitting deals.

  • Perform loan calculations, serviceability assessments, and other numerical tasks supporting the preparation and review of applications, applying a working knowledge of how lending calculations function in a commercial and residential context.

  • Assist in preparing and organising application documentation for submission — ensuring packages are complete, correctly ordered, and compliant with lender requirements before lodgement.



Aggregator & CRM administration



  • Maintain accurate, current deal records within the CRM — updating application status, key dates, client details, and document registers as deals progress, so the system is a reliable and complete record of every active transaction.

  • Support the use of the aggregator platform — including lodgement preparation, trail tracking, and the administrative functions required to support the Director's aggregator workflow.



Client calls & general operational support



  • Answer inbound client calls when required — engaging professionally, gathering relevant information, and ensuring the Director is briefed on anything requiring their follow-up or involvement.

  • Provide broad operational support to the Director across the day-to-day running of the brokerage — assisting with documentation, correspondence, and administrative tasks that support smooth management of the active deal pipeline.


 

What you need to bring

  • A minimum of one to two years of experience in an Australian lending environment — in a para-broker, loan processor, lending support, or comparable role that required genuine understanding of the loan application process beyond basic data entry.

  • Working knowledge of the Australian mortgage and commercial lending process — including what lenders require, how applications are structured, and what the key stages and milestones of a loan look like from submission to settlement.

  • Strong organisational skills and the ability to manage a live pipeline of 10 to 15 concurrent deals without losing track of outstanding actions, upcoming deadlines, or deals needing proactive follow-up.

  • Experience using a CRM or loan management system to track applications, maintain deal records, and manage client communication history.

  • Professional written and verbal communication skills — capable of corresponding with clients, lenders, accountants, and other parties clearly and confidently on behalf of the Director.

  • Proactive and persistent — follows up consistently and keeps deals moving without needing the Director to prompt every step.

  • Professionally confident — capable of speaking with clients and lenders directly and representing the business with credibility.

  • Lending-literate — understands the Australian loan process well enough to identify what is missing, what is at risk, and what needs to happen next without being told.

  • Experience with an aggregator platform in a broking support capacity is a genuine plus.

  • Background in commercial lending support — exposure to larger, more complex transactions requiring sustained management over a longer timeframe than standard residential loans — is a genuine plus.

  • Understanding of lender policy research and the ability to compare product and lender options to support deal structuring is desirable.

  • Experience with Australian serviceability calculations, loan modelling, or comparable numerical analysis used in preparing lending applications is desirable.

  • This role is open to Philippines-based candidates.

  • Fully remote, working full Australian business hours.
