The Role

The Order Management Specialist is responsible for accurately processing customer orders, maintaining customer records, and serving as a key liaison between customers, sales, operations, and finance. This role ensures timely and precise order execution while delivering a high level of customer service and responsiveness.

Location: Must be in the Philippines Remote.

Timezone: Monday to Friday: 6AM 3PM EST (6PM 3AM Philippine Time)

Employment: Full Time Position

Requirements

Experience: 5 years of order management or customer service experience in a B2B environment

Skills

  • Experience with mid-market ERP systems (Sage X3, NetSuite, Dynamics 365, SAP Business One, Infor, NetSuite (Oracle NetSuite)
  • Strong attention to detail and data accuracy
  • Proficiency in Microsoft Excel and Outlook
  • Ability to manage multiple priorities in a fast-paced environment

Responsibilities

Order Management

  • Accurately enter and process customer purchase orders into the ERP system
  • Review orders for completeness, pricing accuracy, product availability, and terms
  • Confirm order details, shipping dates, and pricing with customers as needed
  • Coordinate with warehouse and operations teams to ensure timely fulfillment
  • Manage order changes, cancellations, and returns

Customer Service

  • Serve as primary point of contact for order-related inquiries
  • Respond to customer requests regarding pricing, availability, shipment status, and documentation
  • Resolve discrepancies related to orders, invoices, and shipments
  • Maintain strong relationships with customers through professional and timely communication

Data Accuracy & Documentation

  • Maintain accurate customer master data (billing, shipping, tax, payment terms)
  • Ensure pricing and discount structures align with approved guidelines
  • Track backorders and communicate updates proactively
  • Assist with documentation for compliance, including export paperwork if applicable

Cross-Functional Coordination

  • Partner with Sales to support customer accounts
  • Coordinate with Finance regarding credit holds, invoicing, and disputes
  • Work closely with Operations and Supply Chain to align delivery timelines
