About Arbor

Arbor is where builders and contractors go to source building materials without the markup, the runaround, or the guesswork. We're a tech-powered B2B marketplace that pairs a dead-simple checkout with a highly automated fulfillment engine — so orders move from click to jobsite with speed and precision.

We're a small team. Everyone here owns something real. We're scaling fast across the U.S. and building an elite remote operations team in the Philippines to run it.

The Role

You will own the entire U.S. order operation — from the moment a contractor hits Place Order to the moment materials land on their jobsite.

This is not order entry, and it is not a queue. Nobody will hand you an SOP. On most days you'll hit a problem no one at Arbor has solved before: a carrier that won't answer, a vendor who shorted a pallet, an address that doesn't exist, a customer who needs an answer in 20 minutes. Your job is to figure it out, fix it, and then make sure it never happens the same way twice.

You'll work alongside AI agents that handle the routine routing, drafting, and follow-ups. Your job is to catch what they get wrong, and make them better. If that sounds interesting rather than threatening, keep reading.

What You'll Own

  • Every order, end to end. Validate orders, confirm availability, choose the fulfillment route, generate shipping docs — inside tight SLA windows.
  • Exceptions. Backorders, carrier delays, damaged freight, bad addresses. You contain them fast and communicate before the customer has to ask. No customer should ever chase you for an update.
  • The playbook. Map the workflow, find the bottleneck, ship the fix — a low-code automation, a better template, a smarter escalation path. Your improvements go live in days, not quarters.
  • The numbers. Perfect Order Rate, On-Time Delivery, Order Cycle Time, Cost per Order. You surface risk early and bring recommendations, not just reports.
  • Vendors and carriers. Scorecards, quarterly reviews, holding partners to their SLAs, negotiating terms that keep us fast and cheap.

Who Actually Succeeds Here

We hired one person like this already. She's the reason we're hiring another. Here's what she does that we're looking for again:

  • Resourceful. Handed a problem with no instructions and no precedent, she finds the answer — digs through the vendor portal, calls the carrier, builds the spreadsheet, learns the tool over the weekend. She has never once said I wasn't told how.
  • Genuinely hard-working. Not available 24/7 — we don't want that. We mean the kind of person who finishes the thing, checks it twice, and doesn't leave a loose end for someone else to find.
  • Owns outcomes, not tasks. When an order goes wrong, she doesn't report it. She fixes it, tells the customer, and then changes the process so it can't repeat.

If that's you, the résumé matters less than you think.

What We Need

  • 3+ years in order management, fulfillment, logistics, or supply-chain operations — or in another role where you owned an outcome rather than a queue and can show it.
  • Comfortable with numbers: freight class, dimensional weight, margin impact, back-of-envelope split-ship vs. expedite calls.
  • Strong Excel / Google Sheets. Bonus if you've built anything in Zapier, Make.com, or Power Automate — or taught yourself something similar because you needed it.
  • Excellent written and spoken English. You'll draft customer emails and run vendor calls without supervision.
  • At least 4 hours/day overlap with U.S. Pacific Time (e.g. 8 AM–12 PM PT).
  • You're energized by ambiguity and you care, personally, about getting details right.
