The Oracle NetSuite Virtual Assistant provides high-level administrative and back-office support to ensure smooth daily operations. This role requires strong experience in Oracle NetSuite, advanced spreadsheet skills, excellent communication, and the ability to manage both professional and personal administrative tasks. The ideal candidate is proactive, detail-oriented, and capable of handling confidential information while supporting executives with scheduling, coordination, and lifestyle-related tasks.

Key Responsibilities
  • Provide comprehensive back-office and virtual administrative support, including email management and documentation handling.
  • Manage inbound and outbound communications professionally with clients, vendors, and internal teams.
  • Maintain and update records, transactions, and reports using Oracle NetSuite.
  • Create, manage, and analyze spreadsheets for tracking data, reporting, and operational support.
  • Assist with calendar management, scheduling meetings, coordinating events, and resolving scheduling conflicts.
  • Support executive-level tasks such as reminders, travel coordination, and event planning.
  • Assist with personal support tasks, including researching, purchasing, and coordinating gifts or items as needed.
  • Stay up to date with current trends, ideas, and gifting concepts to provide thoughtful and timely recommendations.
  • Ensure accuracy, confidentiality, and timely completion of all assigned tasks.
  • Coordinate with multiple stakeholders to ensure smooth execution of administrative and operational activities.

Qualifications
  • 57 years of experience as a Virtual Assistant or in a similar administrative support role.
  • Hands-on experience using Oracle NetSuite (required).
  • Excellent proficiency in spreadsheets (Excel or Google Sheets).
  • Strong written and verbal communication skills.
  • Proven ability to manage calendars, prioritize tasks, and handle multiple responsibilities simultaneously.
  • Highly organized, proactive, and detail-oriented.
  • Comfortable supporting both professional and personal administrative tasks.
  • Tech-savvy and up to date with digital tools, trends, and productivity solutions.
