Job Description
We are seeking an experienced Ophthalmology Front Desk / Patient Access Specialist to support a fast-paced U.S.-based ophthalmology practice. This role will serve as a key point of contact for patients, handling inbound calls, appointment scheduling, insurance verification, patient registration, and general front-office support.
The ideal candidate has prior ophthalmology experience and hands-on experience with ModMed, particularly ModMed Practice Management and/or EMA. You should be comfortable navigating a high-volume patient environment while providing accurate, efficient, and compassionate service.

Key Responsibilities
Patient Access & Inbound Calls
- Handle a high volume of inbound patient calls professionally and efficiently.
- Assist patients with appointments, scheduling inquiries, office information, and general administrative concerns.
- Identify the appropriate appointment type based on the patient's reason for visit.
- Address patient concerns and escalate clinical or complex issues to the appropriate team.
- Deliver a professional, patient-focused experience across every interaction.
- Schedule, reschedule, and cancel appointments using ModMed Practice Management.
- Schedule appropriate appointment types based on provider, location, specialty, and visit requirements.
- Manage new patient, follow-up, postoperative, testing, and procedure appointments.
- Coordinate appointments requiring diagnostic testing.
- Monitor cancellations and available openings to maximize scheduling opportunities.
- Accurately document appointment details and patient communications in the system.
- Verify patient insurance eligibility and benefits before appointments.
- Confirm coverage, effective dates, plan information, and patient responsibility.
- Identify insurance discrepancies and coordinate resolution with the appropriate team.
- Update insurance information accurately in ModMed.
- Support financial clearance and pre-visit verification processes.
- Maintain accurate patient demographics, contact information, guarantor, and insurance details.
- Assist patients with registration and pre-visit requirements.
- Review records for completeness and accuracy.
- Assist with patient portals, electronic forms, and other administrative requirements.
- Support check-in/check-out activities as needed.
- Document patient interactions and requests accurately.
Candidates should have a solid understanding of common ophthalmology terminology, services, and workflows, including:
- Comprehensive eye examinations
- Cataract evaluations
- Glaucoma
- Retina
- Diabetic eye exams
- Macular degeneration
- Dry eye
- Corneal conditions
- Postoperative visits
- OCT
- Visual fields
- Fundus photography
- Refraction
- Ophthalmic diagnostic testing
- Hands-on ModMed experience is required.
- Experience with ModMed Practice Management and/or EMA is strongly preferred.
- Ability to navigate patient charts, schedules, insurance information, and appointment workflows.
- Experience with electronic insurance eligibility verification tools.
- Strong computer skills and ability to work across multiple systems simultaneously.
- 2+ years of experience in medical front desk, patient access, medical scheduling, or a similar role.
- Prior ophthalmology experience is required.
- ModMed experience is required.
- Experience handling high-volume inbound patient calls.
- Experience with medical appointment scheduling.
- Experience with insurance eligibility and benefits verification.
- Experience specifically supporting a ModMed ophthalmology practice.
- Experience with both ModMed EMA and Practice Management.
- Experience working in a high-volume or multi-location ophthalmology practice.
- Experience scheduling ophthalmology testing and procedures.
- Experience with ophthalmology insurance verification and financial clearance.
- Experience supporting a U.S.-based medical practice remotely.
- Amenable to work during US hours
- Must be willing to undergo a background check as part of the hiring process.
