Job Description

Position Overview

We are looking for a capable and highly organized Operations Trainee who will be trained in different areas of the companys day-to-day operations.

The role is designed to help us assess the trainees strengths, judgment, work habits, and suitability for a long-term position within the organization. The trainee may assist with administrative, documentation, client coordination, and operational tasks, with particular emphasis on work related to application processing and document review.

The ideal candidate is intelligent, independent, detail-oriented, and able to think critically rather than simply follow instructions. Candidates who demonstrate strong analytical ability, accuracy, organization, and sound judgment may eventually be assigned to the Loan Processing Team.

Key Responsibilities

  • Receive, review, organize, and maintain client and transaction documents.
  • Check applications and supporting documents for completeness, accuracy, consistency, and possible discrepancies.
  • Encode and update client, property, account, and transaction information.
  • Maintain organized physical and digital records.
  • Assist in tracking the status and progress of applications and other pending transactions.
  • Coordinate with clients, agents, and internal team members regarding missing documents, requirements, and updates.
  • Prepare files, checklists, reports, and supporting information for evaluation and approval.
  • Identify incomplete information, inconsistencies, unusual details, and potential issues that require further review.
  • Follow established procedures while using sound judgment when situations are unclear.
  • Handle confidential client, financial, and company information responsibly.
  • Assist with general administrative and operational tasks as needed.
  • Learn different areas of the companys operations and take on additional responsibilities based on performance and ability.

Qualifications

  • Bachelors degree in any field.
  • At least one year of work experience in an office, administrative, operations, finance, banking, real estate, legal, accounting, customer service, or similar environment.
  • Strong analytical and critical-thinking skills.
  • High attention to detail and accuracy.
  • Organized and able to manage multiple documents, tasks, and deadlines.
  • Able to work independently with minimal supervision.
  • Able to understand and follow detailed procedures.
  • Good written and verbal communication skills.
  • Proficient in email, spreadsheets, word-processing applications, and other standard office tools.
  • Willing to learn new processes, accept feedback, and take on different responsibilities.
  • Trustworthy and able to maintain confidentiality.

Ideal Candidate

  • Learns quickly and understands the reason behind a process, not only the steps involved.
  • Reviews information carefully instead of assuming that submitted documents are complete or correct.
  • Notices missing details, inconsistencies, and potential problems.
  • Knows when to resolve an issue independently and when to raise it to a supervisor.
  • Can prioritize tasks and follow through without constant reminders.
  • Maintains accurate and orderly records.
  • Takes responsibility for the quality and accuracy of their work.
