Job Description

Job Title: Operations Support Project Coordinator

Location: Remote / WFH

Shift: Monday to Friday, 8:00 AM – 5:00 PM EST

Overview

The Operations Support Project Coordinator supports multiple project teams by coordinating telecommunications and construction-related operations, including project tracking, task closures, document management, reporting, and maintaining accurate financial and project records. This role requires a highly organized and detail-oriented professional with strong analytical skills, advanced Excel proficiency, and the ability to manage multiple priorities in a fast-paced environment. Additional responsibilities include entering estimates, uploading documents into client systems, assisting with project tracking activities, and supporting Oracle-related processes to ensure efficient and organized project execution.

Responsibilities

Facilitate and coordinate the work of multiple project teams.

Identify and remove barriers to successful project completion, with emphasis on resolving subcontractor issues.

Provide timely project status updates to Project Managers and escalate unresolved issues as needed.

Maintain and update company databases and project documentation.

Generate customized reports, pivot tables, and utilize VLOOKUP functionality in Excel.

Create and track contracts, purchase orders, submittals, and project close-out manuals.

Serve as the primary point of contact for external vendor representatives and functional consultants regarding strategic and technical project matters.

Handle correspondence between general contractors, owners, architects, and subcontractors.

Assist in tracking and balancing revenues and expenses for all generated jobs.

Track internal, subcontractor, and pass-through revenue.

Monitor internal and subcontractor invoices.

Provide daily status reporting on funding activities.

Perform quality control on internal and subcontractor purchase orders and invoicing.

File and organize project-related documents.

Review invoices for proper documentation and approvals prior to payment.

Participate in special projects, including reporting, filing, research, and administrative support.

Ensure compliance with company regulations, policies, work procedures, and instructions.

Provide backup support and assistance to other staff members when necessary.

Support task closures and upload documentation into client systems.

Assist with overall project tracking and coordination activities.

Qualifications

5+ years of experience as a Support Coordinator or Project Coordinator.

5+ years of experience working in a telecommunications and/or construction environment preferred.

Strong proficiency in Microsoft Excel (Pivot Tables, VLOOKUP, Formulas, etc)

Experience tracking revenues, expenses, and project financial data.

Strong attention to detail and commitment to data accuracy.

Ability to manage multiple requests and prioritize tasks in a fast-paced environment.

Excellent written and verbal communication skills.

Strong organizational, administrative, and follow-up skills.

Ability to work independently and collaboratively across teams.

Experience with Oracle and other internal systems, databases, or project management tools preferred.

Experience with Smartsheet, ERP systems, and project management platforms is a plus.

Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Teams.
