Your Role
As an AU Building Management Support, you are responsible for:
- Provide high-level administrative support to the General Manager and senior leadership.
- Implement and maintain building policies and procedures across all company sites.
- Develop and manage a unified filing and operating system accessible to all managers to ensure continuity during leave or absences.
- Assist in preparing new business tender submissions and supporting documentation.
- Maintain and update the strata manager database for ongoing and prospective business opportunities.
- Maintain and manage the approved contractor database for operational use by building managers.
- Organize, monitor, and enforce compliance with company checklists, policies, and procedures across all managers drives.
- Track, manage, and follow up on reporting deadlines and performance expectations of building managers.
- Prepare and issue notices and communications to building residents via email, SMS, and hard copy as required.
- Maintain the central repository of company records, templates, and operating procedures.
- Contribute to the development, review, and improvement of procedural policies and reporting standards.
- Monitor, triage, and distribute incoming enquiries to appropriate stakeholders.
- Provide day-to-day operational support to Building Managers, particularly part-time managers.
- Coordinate tasks and workflows with the General Manager, Relationship Manager, and Operations team.
- Review and analyze building management reports for accuracy, completeness, and compliance.
What You Need: Non-negotiables
- 610 years proven experience in a senior administrative or office management role.
- Prior experience as an Office Manager or similar role is highly preferred.
- Strong proficiency in SharePoint, Windows OS, MS Excel, and MS Word.
- Demonstrated experience in database and document management.
- Ability to manage reports, tender documentation, and formal communications.
- Excellent written and verbal communication skills.
- Strong organizational, time management, and prioritization abilities.
- High attention to detail and accuracy.
- Confident multitasker with strong computer and systems skills.
