Operations / Project Management Assistant (VA)
Remote | Part-Time (20–30 Hours/Week to Start) | US EST Hours | Competitive Pay
We're looking for an organized and tech-savvy Operations / Project Management Assistant to help with daily admin, operations, and team coordination for our growing agency at Symmetry Financial Group.
This job is a great fit if you like a fast-paced setting, communicate well, enjoy working with systems and data, and can juggle different tasks accurately. You'll start with 20 to 30 hours a week, with the chance to move to full-time as our business grows.
Work Setup (Please Read)
- Remote role
- Part-time (20–30 hours per week to start)
- Opportunity to transition into a full-time position
- Must be willing to work US Eastern Time (EST) hours
- Must be comfortable working in a structured remote environment
- Must use a time tracker with screenshot monitoring
Key ResponsibilitiesOperations & Administrative Support
- Manage and organize email communications, including email dictation and follow-ups
- Handle calendar management, scheduling, and coordination of meetings
- Provide general administrative and operational support
- Assist with appointment setting and client follow-ups
Data Management & Reporting
- Maintain and update Google Sheets, Excel files, and operational spreadsheets
- Track business activities, projects, and operational data
- Generate reports and assist with data organization and analysis
- Ensure information remains accurate and up to date
CRM & Team Coordination
- Manage CRM records and maintain accurate client information
- Coordinate internal communications regarding meetings, trainings, and webinars
- Support onboarding and operational processes when needed
- Help ensure projects, tasks, and deadlines stay on track
Creative & Technical Support
- Create basic graphics, presentations, or marketing materials using Canva
- Support implementation and use of business tools and systems
- Assist with improving workflows and operational efficiency
Non-Negotiable Requirements
- Advanced proficiency in Google Sheets and Microsoft Excel (including formulas)
- Strong English communication skills (written and verbal)
- Willingness to work US EST hours
- Tech-savvy with the ability to learn new systems quickly
- Strong organizational skills and attention to detail
- Ability to manage multiple responsibilities independently
Preferred Qualifications
- Experience working within the insurance or financial services industry
- Experience with CRM platforms and database management
- Canva or basic graphic design experience
- Experience supporting remote teams or business operations
- Project management or operations support experience
- Familiarity with task management platforms such as ClickUp, Asana, Monday.com, or Trello
