Job Title: Operations Manager – Facilities Management & Construction

Remote – Philippines | Must have significant overlap with U.S. business hours

Patriot Holdings International is a U.S.-based commercial facilities management and construction services company supporting multi-location clients across retail, restaurants, convenience stores, and property groups nationwide.

We manage maintenance programs, capital projects, vendor networks, estimating, invoicing, and service delivery across multiple trades and markets. Our business is built on speed, accountability, operational discipline, and consistent execution.

As we continue scaling our Philippines-based operations team, we are looking for an experienced Operations Manager who understands how to lead facilities and construction workflows with urgency, structure, and ownership.

 

Role Description

We are seeking an Operations Manager with direct experience in facilities management, maintenance coordination, field services, or construction operations.

This role will oversee daily execution across work orders, vendor coordination, estimating support, invoicing workflows, team performance, and process improvement.

This is not a generic operations management role.

We are specifically looking for someone who understands how facilities, maintenance, and construction operations function in the real world someone who can drive execution, eliminate bottlenecks, and build operational discipline across a fast-moving service environment.

You will serve as a key leader responsible for ensuring jobs move efficiently from intake to completion, while maintaining speed, accuracy, profitability, and accountability across the operation.

 

What You'll Do:

Facilities & Construction Operations

  • Oversee daily operations across work order management, dispatch coordination, vendor follow-up, closeout, and invoicing
  • Ensure jobs move efficiently from intake through completion, billing, and final closeout
  • Monitor open tickets, aging work orders, approval delays, vendor issues, and invoice exceptions
  • Support estimating workflows, scope coordination, and documentation accuracy
  • Maintain service quality, response time standards, and operational consistency across all active workstreams

Team Leadership & Management

  • Lead and manage operations staff, coordinators, dispatch support, and back-office personnel
  • Set priorities, manage workload distribution, and maintain team accountability
  • Coach team members on speed, ownership, communication, and execution quality
  • Support hiring, onboarding, and development of high-performing team members as the department grows
  • Create a culture of urgency, accountability, and operational excellence

Process Improvement & SOP Development

  • Build, improve, and enforce SOPs across operations, estimating, invoicing, closeout, and escalations
  • Identify operational bottlenecks, workflow breakdowns, rework, and missed handoffs
  • Improve turnaround times, quality control, communication standards, and internal accountability
  • Create scalable systems and structure across remote teams and functions

Reporting & Performance Management

  • Track KPIs including ticket aging, response time, completion rates, invoice turnaround, and service quality
  • Provide leadership with clear visibility into bottlenecks, workload, team performance, and operational risks
  • Support weekly operational reviews and drive continuous accountability across the team

What We're Looking For:

  • 3+ years of operations management experience
  • Direct experience in facilities management, maintenance coordination, construction operations, field services, or similar service environments
  • Proven experience managing people, workflows, deadlines, and service delivery in a fast-paced operational setting
  • Strong written and verbal English communication skills
  • Highly organized with strong follow-up discipline and attention to detail
  • Ability to work U.S. business hours or maintain significant overlap from the Philippines

 

Strongly Preferred

  • Experience supporting multi-site facilities or national account operations
  • Experience with estimating, billing, invoicing, and project coordination
  • Experience managing vendors, subcontractors, and service documentation
  • Familiarity with client portals, ticketing systems, and work order platforms
  • Prior experience supporting U.S.-based clients or organizations
