About the Role
We are seeking a highly organized Operations Coordinator to assist in the daily communications for our customers in the low-voltage audio-video installation sector. In this role, you will assist in communicating between our clients, sales platforms, and our project portal to ensure good customer experiences and that all information is being received and distributed internally.
Key Responsibilities
- Assist in our Microsoft shared inbox by categorizing workflows into RFQ, Scheduling, Active Install, or Post Install phases and replying accordingly
- Receive phone calls and assist customers as the first point of escalation and route/forward accordingly to the internal team
- Review incoming project requests to ensure all necessary details are captured, including the End Client Name, Address, and technical documents like SOW, BOM, or drawings
- Create and maintain project opportunities in Salesforce, accurately configuring them as either Fixed Bid or Time & Materials (T&M) jobs
- Input information for active projects in ProjectCentric once Salesforce opportunities are marked as Closed Won to prepare the team for deployment
Requirements & Qualifications
- Demonstrated proficiency with CRM, Microsoft Outlook, and project management platforms, specifically utilizing tools like Salesforce and ProjectCentric
- Microsoft Word and Excel experience is a must.
- Strong analytical skills to assess incoming jobs and determine if sufficient information is available to proceed with quoting or deployment
- Excellent written and verbal communication skills required to liaise with clients
- Familiarity with technical industry documentation, handling Scopes of Work, Bills of Materials, and architectural or system drawings
Work Environment
- Onsite or office presence required.
- Coverage during US West Coast hours to PH early morning (8AM-5PM Pacific Standard Time)

- Compensation will be based on experience, qualifications, and geographic location.
