What we're looking for:

We are looking for a highly organized, proactive, and self-directed Operations Associate to join our team. This is a hybrid role that combines company-wide operational coordination with executive and personal assistant support for the business owner.

The ideal candidate is someone who thrives on creating clarity out of complexitywho can confidently manage moving parts across departments, build operational systems to keep things on track, and provide day-to-day support that saves leadership time rather than adding to their plate.

If you're someone who anticipates needs, communicates clearly, and gets things done with minimal direction, this role offers a unique opportunity to be the operational backbone of a fast-moving business.

Responsibilitieswhat you'll do:

Operations Support

  • Track active jobs across Sales, Install, Purchasing, and Service departments
  • Build and maintain a centralized dashboard to organize job details, department updates, schedules, and priorities
  • Monitor install timelines, technician travel, purchase orders, and inventory needs
  • Coordinate with vendors for product status updates and delivery timelines
  • Follow up with customers regarding past-due payments and outstanding balances
  • Track and summarize recurring service issues for leadership review
  • Triage and respond to customer emails regarding service concerns or product questions, escalating when needed

Executive and Personal Assistant Support

  • Manage the executive's inbox: flag urgent messages, draft responses, and ensure follow-through
  • Oversee calendar scheduling, meeting coordination, and travel arrangements
  • Handle household and family logistics, including appointments, reminders, and errands coordination
  • Proactively identify tasks that need attention and organize them by urgency, impact, and priority
  • Keep the executive focused by providing regular reminders of top priorities and unresolved issues
  • Serve as a right hand during busy or high-pressure periodstriaging fires and preventing bottlenecks

Light Bookkeeping and Admin

  • Track and reconcile bank accounts across multiple businesses and personal finances
  • Monitor and organize sales tax documentation and filings
  • Support general financial organization and categorization for accounting or tax prep purposes

Qualifications:

  • Proven experience in operations coordination, project management, or executive assistance
  • Excellent organizational skillsyou're someone who loves building systems, templates, and dashboards to keep everything moving smoothly
  • High level of independenceyou take initiative, make decisions confidently, and don't need hand-holding
  • Tech-savvy and comfortable learning new tools (project management tools, Google Workspace, spreadsheets, etc.)
  • Clear communicator, both written and verbal, with a service-minded approach
  • Discreet and trustworthy when handling confidential business and personal information
  • Familiarity with light bookkeeping (e.g., bank reconciliation, tracking expenses, categorizing transactions)
  • Experience juggling multiple priorities in a fast-paced, growing business environment
  • Fully fluent in English
  • Ability to commit long-term and full-time
  • This position is for serious, career-oriented candidates

Nice to Have:

  • Experience working with field service, construction, or product-based businesses
  • Familiarity with customer service platforms, inventory tracking tools, or light CRM systems
  • A knack for anticipating needs and seeing around cornerskeeping leadership on track before they even ask
