Position Type: Full Time

Location: Philippines (Remote)

Schedule: Monday to Friday, 8am - 5pm, Central Time (Fixed Schedule)

Weekend work may be required, subject to business needs

About The Role

This is an Operations Manager role with strong marketing ownership.

The Operations & Growth/Marketing Manager will act as the operational right hand to the Ownerensuring the clinic runs efficiently while leading patient acquisition efforts. This role requires someone who can independently manage digital marketing strategy and confidently oversee clinic operations, billing coordination, reporting, and workflow optimization.

The business does not currently require a full-time marketing-only professional. Therefore, this position requires a candidate who can balance:

  • Strategic patient acquisition
  • Operational leadership
  • Billing and claims oversight
  • Financial tracking and reporting
  • Workflow improvement and team coordination

This role is ideal for someone who has previously led teams or departments and is comfortable operating at both strategic and execution levels.

Responsibilities

Growth & Acquisition

  • Develop and manage Google Ads and PPC campaigns independently
  • Own digital growth strategy focused on therapy and medication management patient acquisition
  • Track cost per acquisition, ROI, and funnel performance
  • Create and manage content strategy across Instagram, Facebook, TikTok, and YouTube
  • Oversee content production (Canva / light Adobe tools acceptable)
  • Maintain a structured marketing plan tied to measurable growth goals
  • Explore referral networking opportunities (primary care offices, community partnerships)
  • Act as brand steward ensuring consistency in messaging and positioning

Operations Leadership & Clinic Management

  • Serve as operational lead between clinicians, billing team, and Owner
  • Identify workflow inefficiencies and implement scalable systems
  • Ensure operational tasks do not fall back on the Owner
  • Maintain compliance awareness (HIPAA understanding required)
  • Support hiring coordination and team oversight as needed
  • Step in to manage administrative needs when necessary (small business flexibility required)

Billing, Claims, and Financial Oversight

  • Act as liaison with independent billing team within the EMR
  • Monitor claims flow and aging reports
  • Track claims requiring follow-up
  • Assist with payroll coordination and expense tracking
  • Build monthly performance reports (revenue, claims status, marketing ROI)
  • Strong Excel proficiency required for financial tracking and reporting

Competencies And Qualifications

Must-Have

  • 5+ years experience in operations management with team leadership responsibility
  • Strong hands-on experience managing Google Ads and PPC campaigns
  • Experience in U.S. healthcare operations (must understand claims flow, deductibles, copays, insurance processes)
  • Experience overseeing billing or revenue cycle coordination
  • Demonstrated ability to manage both marketing growth and operational systems simultaneously
  • Advanced Excel skills for reporting and performance tracking
  • Strong organizational and prioritization skills
  • Excellent written and verbal English communication
  • HIPAA knowledge and compliance awareness

Nice-to-Have

  • Experience in outpatient mental health or small medical clinics
  • Experience working directly with U.S.-based providers
  • Familiarity with EMR systems
  • Experience using AI tools like ChatGPT for content support
