Job Description

Job Overview:

Our client is seeking a highly organized, proactive, and detail-oriented Operations & Logistics Coordinator (QuickBooks Enterprise) to directly support their Vice President and field operations team. In this role, you will serve as a critical operational bridge between vendors, project stakeholders, and field technicians. This is a fast-paced, real-time communication role requiring exceptional logistics management, sharp problem-solving skills, and a dedicated work ethic.

Schedule: Monday - Friday, 8:00 AM - 5:00 PM PST

Responsibilities:

  • Place orders accurately through various vendor websites and supplier portals.
  • Source and request quotes from vendors, inquiring about item availability and manufacturing/shipping lead times.
  • Track open Purchase Orders (POs) daily, making proactive outbound calls to vendors to secure daily status updates.
  • Coordinate product returns, exchanges, or Return Merchandise Authorizations (RMAs) with vendors.
  • Monitor and track all incoming shipments from order placement until successful delivery.
  • Swiftly resolve shipping delays, transit discrepancies, or delivery issues directly with carriers and vendors.
  • Conduct morning and afternoon check-ins with field technicians daily to ensure the project calendar remains accurate and up-to-date.
  • Act as a central point of contact to assist field technicians and internal staff, resolving operational bottlenecks to keep projects moving forward.

Qualifications:

  • 2+ years of experience in project coordination, logistics, purchasing, or a high-level operational support role.
  • Working knowledge of QuickBooks Enterprise and experience with creating Estimates and Purchase Orders.
  • Comfortable supporting a senior executive and communicating professionally.
  • Exceptional verbal and written communication skills.
  • Comfortable making frequent outbound calls to vendors and maintaining constant contact with field staff.
  • Master of multi-tasking and timeline management; ability to pivot quickly as project needs change throughout the day.
  • Proficient with standard office software, vendor portals, and digital calendars.
  • Experience with PBX phone systems or logistics tracking software is a plus.
  • Proactive problem-solver, highly reliable, and able to work seamlessly under the direction of executive leadership.
