Job Description

Job Overview

Our client is looking for an Operations & Admin Specialist (Simpro). This is a high-impact, foundational role in which you will take full ownership of the company's daily administrative, financial, and operational workflows. By optimizing the Simpro system, managing the invoicing cycle, and documenting core processes, you will transition the business from relying solely on the owner to running on scalable, highly efficient systems.

Schedule

  • Monday - Friday, 8:00 AM - 5:00 PM Sydney Time, with a 1-hour unpaid break (40 work hours per week)

Responsibilities

  • Process daily dockets, timesheets, purchase orders, and job information into Simpro to ensure records remain accurate and up to date.
  • Monitor customer communications and assist with customer follow-ups, enquiries, warranty requests, and general administrative support.
  • Manage the shared inbox and answer incoming phone calls as the first point of contact for customers.
  • Monitor Simpro for parts orders and supplier requirements, coordinating material orders with suppliers such as Reece.
  • Coordinate and adjust technician schedules to accommodate urgent commercial call-outs and changing priorities.
  • Conduct ongoing reviews of the current Simpro setup and recommend workflow improvements, including asset management and reporting enhancements.
  • Work closely with the business owner to document key business processes and develop comprehensive Standard Operating Procedures (SOPs) and an internal knowledge base.
  • Support weekly quoting activities by obtaining supplier pricing and preparing documentation for customer quotations.
  • Assist with general administrative tasks that support the smooth day-to-day running of the business.

Requirements

  • Proven hands-on experience using Simpro (highly desirable).
  • Experience working within the Australian trades, construction, or field service industry.
  • Familiarity with job scheduling, technician coordination, customer service, and operational administration.
  • Basic Bookkeeping experience
  • Experience using Xero or similar business software is advantageous.
  • Excellent written and verbal communication skills.
  • Strong technical aptitude with the ability to improve workflows, optimize systems, and create professional reports.
  • Demonstrated ability to document business processes and develop SOPs.
  • Highly organized with excellent time management skills.
  • High-caliber EA with very good comm skills, excellent CS and phone skills
  • Able to work independently, prioritize competing tasks, and adapt quickly in a fast-paced environment.
