Duties And Responsibilities
- Operations Documentation and Administrative Support
- Write, edit, and format a wide range of documents including letters, reports, operational forms, and instructional materials.
- Manage incoming and outgoing correspondence between the office and external parties.
- Create, organize, and maintain accurate physical and electronic filing systems.
- Compile, maintain, and regularly update company and operational records.
- Prepare, review, and properly file operational and procedural documents.
- Ensure all documentation is complete, accurate, and compliant with company policies and standards
- Handle emails, phone calls, and internal administrative requests professionally and promptly.
- Compile, manage, and update product catalogues in both digital and print-ready formats.
- Provide general clerical and administrative support to ensure efficient office operations.
- Manage and monitor overall MDS inventory, including demo units, repair items, and operational stocks, in coordination with the Admin Warehouse, Cebu and Davao Technical Engineers, and the MDS Operations Head.
- Update and maintain inventory records; support regular stock counts and reconciliation activities.
- Prepare and submit consolidated inventory reports for Manila, Cebu, and Davao to the MDS Business Solutions and Operations Head.
- Safekeep and manage common MDS equipment such as laptops, tools, and shared assets.
- Coordinate with the Purchasing Team on inventory requests, issuance, replenishment, and ensure completion of all documentary and electronic requirements.
- Manage and monitor job orders, technical reports, service level agreements (SLAs), and warranty certificates.
- Ensure all required pre-execution and post-execution job order documents are complete and properly filed.
- Coordinate closely with Sales and Marketing teams for incoming, ongoing, and completed job orders to support timely billing.
- Prepare and assist in processing payment requests, expense liquidation, and related documentation.
- Perform basic bookkeeping and tracking of operational expenses.
- Process domestic and international logistics requirements, including importation documentation, customs clearance, and other regulatory requirements.
- Coordinate with suppliers, logistics partners, service providers, and internal teams for deliveries and pickups.
- Maintain accurate logistics and procurement records such as purchase orders, delivery receipts, and tracking documents.
- Monitor procurement status and follow up to ensure timely delivery of goods and services.
- Coordinate with the Admin Department on departmental needs including vehicle requests, conference room bookings, messenger services, and travel arrangements.
- Collate and distribute mail, documents, and operational materials.
- Schedule and coordinate meetings, site-related logistics, and team requirements.
- Manage calendars and appointments, particularly for demo units and shared resources.
- Oversee and manage departmental office supplies, tools, equipment, documents, and contracts.
Educational Background And Work Experiences
- Bachelors degree in Business Administration, Office Management, or a related field.
- Strong organizational, documentation, and coordination skills.
- Proficiency in MS Office or Google Workspace.
- Ability to handle multiple tasks and coordinate with cross-functional teams.
- At least 12 years of administrative or operations support experience, preferably in AV, technology, or project-based industries.
- Experience in operations documentation, inventory management, or logistics support is an advantage.
