At AMS, we're building teams that are curious, collaborative, and committed to doing great work. We're looking for a Specialist - Recruitment Administration who enjoys learning and values teamwork. If you have strong onboarding and offer management experience, good communication skills, and a passion for providing an outstanding onboarding experience, you might be exactly who we're looking for.
Key Accountabilities:
What you'll do:
- Manage account-specific recruitment administration activities, including overseeing the end-to-end preboarding process and is accountable for completing all required validations before a candidate can be hired in Workday. Using a structured pre-hire checklist, the specialist reviews every stage of the process to ensure no critical steps are missed and that all hiring, compliance, and system requirements have been met.
- Create and release employment offer letters accurately and timely, ensuring alignment with approved hiring terms, compensation structures, and company policies while maintaining complete documentation and compliance standards.
- The role involves validating requisition details, organizational data, and candidate information; coordinating ServiceNow and Workday activities; conducting duplicate record checks across HR systems; determining the correct hire classification; managing exceptions and escalations; and ensuring all pre-hire requirements are completed accurately.
- As the final quality control point before hire completion, the Preboarding Specialist helps prevent onboarding delays, payroll issues, duplicate employee records, system access problems, and data integrity errors. Through consistent use of the preboarding checklist, they ensure every hire is compliant, complete, and ready to proceed into the organization.
- Processes more complex requests and provides support or training, as well as acting as a buddy to junior team members.
- Managing various ad-hoc administration activities to support the effective running of the recruitment process e.g., updating Operations Manual or other process documentation.
- Completing reports and trackers accurately and to deadlines.
- Building and maintaining strong working relationships between all parties including recruiters, hiring managers, vendors, and other account stakeholders.
- Ensuring stakeholders and colleagues are continually appraised and updated on the relevant processes, including changes, providing first-line support for managing and resolving escalations.
- Contributes ideas and actively participates in projects for cost savings, revenue generation, and operational efficiency (Ex. process and benchmark review, time study).
- Overseeing work allocation and reviewing accuracy of output for other (Senior) Recruitment Coordinators.
- Fully utilizes technology and other rollouts and changes implemented to the team.
Skills & Requirements:
- Strong experience in onboarding processes; experience within an RPO environment is an advantage
- Strong coordination, communication, and stakeholder management skills.
- Experience with Workday and ServiceNow is a nice-to-have
- Experience supporting global operations is a plus; candidates with local market experience will be considered.
- Career shifters with relevant onboarding experience will also be considered
