Overview

The Onboarding Coordinator owns the space between offer accepted and first day ready.

This is not just sending reminder emails and hoping people complete their paperwork. This role is proactive. It requires calling candidates, walking them through steps, and troubleshooting issues in real time. When something stalls, this person does not wait. They move. Because we operate high-volume, event-driven hiring cycles, there will be times that require flexibility including occasional Saturday work during peak onboarding periods.

As part of our hiring process, the first step will include an interview conducted by an AI interviewer. This allows us to efficiently and fairly assess all applicants using consistent, unbiased questions.

Contract: 6 months contract (with possibility of extension and/or conversion)

Shifts (EST/PST/CST/MST)

  • Monday to Friday | 8:00 AM - 5:00 PM
  • Tuesday to Saturday | 10:00 AM - 7:00 PM
  • Sunday to Thursday | 10:00 AM - 7:00 PM

Responsibilities

  • Manage high-volume onboarding pipelines.
  • Track background checks, I-9s, compliance docs, and system steps.
  • Call candidates who haven't completed onboarding not just email them.
  • Help candidates troubleshoot background check issues, document uploads, and portal access.
  • Walk candidates step-by-step through the onboarding process if needed.
  • Identify risks early (delays, confusion, non-responsiveness)
  • Keep recruiters and ops updated on status.
  • Flag potential no-shows before they become surprises.
  • Be available for occasional Saturday support during peak cycles.
  • This role requires patience, urgency, and follow-through.

Qualifications

  • 12 years of experience in onboarding, HR operations, or recruitment support (U.S. experience preferred)
  • Comfortable managing high volume without losing attention to detail.
  • Not afraid to pick up the phone and actively follow up with candidates.
  • Calm, patient, and solution-oriented when candidates are confused or frustrated.
  • Organized, structured, and proactive does not wait to be reminded.
  • Strong ownership mindset; takes responsibility for outcomes, not just tasks.
  • High sense of urgency without sacrificing accuracy.
  • Comfortable having direct conversations when timelines are at risk.
  • Self-motivated and dependable; does not require constant supervision.
  • Resilient under pressure and able to stay focused during peak hiring cycles.
  • Flexible and willing to support occasional Saturday onboarding during peak seasons.
