Role Description

We are seeking a proactive and detail-oriented Vaccination Coordinator to lead the planning and execution of vaccination events across various locations. This role will primarily focus on the logistical coordination, scheduling, and on-site support of vaccination drives, ensuring smooth operations and excellent service delivery. When not assigned to an event, the coordinator will provide general administrative support to the team.

Key Responsibilities:

Vaccination Event Coordination:

  1. Plan and coordinate on-site vaccination events.
  2. Source and coordinate with the medical team regarding the on-site vaccination schedule.
  3. Act as the on-site point of contact during vaccinations, ensuring operations run smoothly.
  4. Communicate event details and schedules to internal stakeholders.
  5. Prepare and distribute vaccination documentation, such as timestamps, on-site vaccination materials, on-site vaccination checklists, vaccination reports, and survey forms.
  6. Prepare and check on-site vaccination materials.
  7. Collect feedback and suggest improvements to the vaccination program.

Administrative Support:

  1. Support regulatory and logistics departments as needed during off-event periods.
  2. Maintain accurate records and documentation for vaccination programs.
  3. Assist with inventory tracking of vaccines, vaccination supplies, and materials.
  4. Assist the Product Specialist in sourcing medicines and medical supplies.
  5. Prepare Purchase Orders and Purchase Requests.
  6. Assist in receiving items to be delivered to the office.
  7. Perform general administrative tasks such as data entry, filing, and email correspondence.

Qualifications

  • Bachelor's degree in Business Administration, Healthcare Administration, Nursing, Pharmacy, Public Health, or any related field.
  • At least one (1) year of experience in administrative support, logistics, event coordination, healthcare, or a related role is preferred. Fresh graduates with strong organizational skills are also encouraged to apply.
  • Excellent organizational and time management skills, with the ability to manage multiple tasks and meet deadlines.
  • Strong communication and interpersonal skills, with the ability to coordinate effectively with clients, healthcare professionals, suppliers, and internal teams.
  • Detail-oriented with a high level of accuracy in documentation, reporting, and record-keeping.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • Able to work independently while also collaborating effectively within a team environment.
  • Willing to travel and provide on-site support for vaccination events, including occasional early morning, evening, weekend, or holiday assignments when required. (Transportation provided)
  • Demonstrates professionalism, adaptability, and a customer service-oriented attitude when dealing with clients and stakeholders.
  • Experience in procurement, inventory management, healthcare operations, or vaccination programs is an advantage but not required.
