Role Purpose
The Executive Assistant and Workplace Manager is a dual-function leadership role responsible for ensuring the smooth and efficient operation of the Manila office while providing high level executive support to the Country Leader. This role oversees all aspects of facilities management, office administration, workplace safety, culture and engagement, and executive coordination. It requires strong organizational capability, sound judgment, exceptional communication skills, and the ability to partner effectively across local and global teams. The ideal candidate ensures that the workplace is safe, compliant, productive, and aligned with NCC Group's culture and operational standards.
Key Responsibilities
Summary
Facilities Management
- Maintain and enhance office facilities to provide a safe, compliant, and productive work environment in partnership with the facilities vendor (CBRE).
- Act as the primary liaison between NCC Group Manila and CBRE, ensuring timely delivery of office services including maintenance and supply management.
- Develop and implement policies and procedures related to the use and upkeep of office facilities.
- Lead space planning activities, including seat zoning, floor capacity management, and future occupancy planning.
- Serve as NCC Group's main contact during onsite inspections and audits, coordinating closely with CBRE to ensure all regulatory requirements are met.
- Coordinate with Procurement and the Estates Team on matters related to facilities, budgets, renovations, and service needs.
Office Management
- Oversee all office administrative functions to ensure efficient daily operations.
- Provide comprehensive executive support to the Country Leader.
- Act as in ‑country contact for Legal and Compliance; manage the registration, renewal, and proper display of all required business permits and certifications.
- Ensure pantry supplies are consistently stocked, monitored for freshness, and replenished regularly.
- Manage internal and external visitors, maintain a visitor log, and update the Senior Leadership Team as needed.
- Maintain and update all Manila specific communication channels including email groups, MS Teams, and Signal chats.
- Partner with HR to build and coordinate a Culture Crew to design and deliver engagement activities based on survey insights and employee feedback.
- Report administrative and facility-related updates, issues, and resolutions to the Manila Senior Leadership Team.
- Represent NCC Group during government or LGU visits, coordinating preparation with relevant internal stakeholders.
Health & Safety
- Ensure compliance with global and local health and safety standards, including timely reporting to DOLE.
- Serve as the certified Health & Safety Officer; lead Manila's H&S Committee and ensure meeting minutes are submitted to DOLE.
- Oversee clinic operations, ensuring equipment, medicine, and supplies are adequately maintained and replenished.
- Partner with HR to plan and execute wellness programs and workplace well‑being initiatives.
- Lead site level health, safety, and business continuity programs.
- Serve as the primary contact for emergencies and ensure all Manila colleagues are enrolled in Fact24.
Culture and Engagement
- Lead the Culture Committee and set the annual engagement strategy and priorities.
- Plan and execute a People Calendar of events, wellness initiatives, and recognition activities.
- Act as the main NCC Group Manila representative to external industry partners (e.g., IBPAP, British Embassy, BCCP).
- Track engagement participation, training and development hours, and seat occupancy metrics.
Executive Assistant Responsibilities
- Draft, refine, and review the Country Leader's communications (emails, 5/15s, memos, presentations).
- Manage the Country Leader's calendar, travel arrangements, and meeting coordination.
- Prepare agendas, briefing materials, and decks for internal and external meetings, including visiting executives.
- Coordinate across Manila ELT, People Operations, GTS, Finance, COO, and external partners.
- Communicate timely updates on office changes, safety matters, and engagement activities.
- Track action items and deadlines to ensure follow-through and completion.
- Organize leadership meetings, key events, and strategic reviews.
- Submit month end office expense reports and support budget monitoring.
- Safeguard sensitive information with discretion and integrity.
- Maintain organized and secure executive and office documentation.
- Support strategic initiatives and special projects assigned by the Country Leader.
