Objective of this role:
- The office admin will support the team by managing communications, maintaining organization, and ensuring timely execution of administrative tasks in alignment with company policies and procedures.
Responsibilities:
- Respond promptly and professionally to communications, ensuring timely follow-ups on tasks.
- Collaborate with team members to support shared goals and maintain workflow.
- Manage multiple responsibilities with attention to detail, prioritization, and adherence to procedures.
- Maintain existing procedures and files, ensuring they are up to date.
- Perform accurate data entry and validation of timesheets and records.
- Track and notify team members of expiring safety certificates.
- Track and coordinate ongoing vehicle fleet management and maintenance.
- Coordinate vacation calendars in relation to vehicle maintenance.
- Proactively identify and flag issues or discrepancies.
Required skills and qualifications:
- Strong organizational, time management, and multi-tasking skills.
- Detail-oriented, proactive, and accurate in maintaining up-to-date records.
- Proficient in Google Workspace, Excel, and Word.
- Excellent written and verbal communication skills.
- Flexible, punctual, and able to meet deadlines while following structured processes.
Preferred skills and qualifications
- Proven ability to work as a team player in a fast-paced environment.
- Prior experience in an administrative or support role.
- Interest in further developing skills in social media management and newsletter marketing.
- Working knowledge of Adobe programs
