About The Role

We are looking for an experienced Bookkeeper / Finance Administrator to support our growing business across New Zealand and Australia.

This role is ideal for someone who is highly organised, proactive, and confident managing day-to-day financial operations while providing clear, accurate reporting that helps the business make informed decisions and continue to grow.

You'll be responsible for maintaining accurate financial records in Xero, managing bookkeeping processes, monitoring revenue and costs, supporting month-end financial activities, and ensuring our financial data is presented in a consistent format that provides meaningful insights into business performance and profitability.

Key Responsibilities

  • Manage day-to-day bookkeeping using Xero.
  • Record and reconcile all business transactions accurately.
  • Maintain accurate records of revenue, expenses, invoices, and payments.
  • Complete bank and credit card reconciliations.
  • Assist with Accounts Payable.
  • Monitor Accounts Receivable by flagging overdue invoices and escalating outstanding accounts to the General Manager and Founder for follow-up.
  • Draft end-of-month client invoices for the Operations team to review and send.
  • Cross-check invoices against time-tracking records to ensure all billable work has been captured accurately, highlighting any missed revenue, overspend, or under-delivery to the General Manager.
  • Monitor business costs and identify any unusual or unexpected expenditure.
  • Ensure all financial information is maintained in an agreed reporting format.
  • Prepare monthly financial reports including:
    • Profit & Loss
    • Cash Flow
    • Budget tracking
  • Support month-end and year-end financial processes.
  • Prepare GST information for both New Zealand and Australia and work alongside external accountants to ensure timely lodgements.
  • Support the General Manager and Operations team with project wash-up reporting, providing insights into revenue, profitability, and margins by project and team member.
  • Help establish scalable financial systems and processes as the business grows.
  • Provide financial insights that help management understand profitability, margins, business performance, and opportunities for improvement.
  • Identify opportunities to improve financial processes, efficiency, and reporting through technology and AI tools where appropriate.
Skills & Experience

Essential

  • Proven experience as a Bookkeeper or Finance Administrator.
  • Advanced working knowledge of Xero.
  • Experience supporting businesses operating in both New Zealand and Australia.
  • Strong understanding of:
    • GST (NZ & AU)
    • Accounts Payable
    • Accounts Receivable
    • Bank reconciliations
    • Financial reporting
    • Expense management
  • Strong attention to detail and accuracy.
  • Excellent written and spoken English.
  • Ability to work independently while collaborating effectively with a remote team.
  • Comfortable using modern technology and AI tools to improve efficiency and automate administrative tasks.
Desirable

  • Experience working with professional services, digital agencies, marketing, or technology businesses.
  • Digital agency experience is highly regarded.
  • Experience preparing information for external accountants.
  • Understanding of budgets, forecasting, and cash flow management.
  • Experience improving financial systems, reporting, and operational processes.

What Success Looks Like

Success in this role means consistently delivering accurate, timely financial information that enables the business to make confident decisions.

You Will

  • Ensure all bookkeeping is accurate, reconciled, and up to date.
  • Prepare and audit end-of-month invoices between the 25th and 30th of each month so invoices are issued on time.
  • Ensure all billable work is invoiced accurately through reconciliation against time-tracking systems.
  • Keep financial records organised, compliant, and audit-ready.
  • Provide reliable monthly reporting that gives leadership clear visibility over business performance.
  • Support GST compliance across both New Zealand and Australia.
  • Flag outstanding accounts receivable promptly for management follow-up.
  • Assist the leadership team in understanding profitability, project margins, and overall financial performance.
  • Continuously improve financial systems and reporting processes as the business grows.
