Job Description

We are seeking a proactive, highly organized NDIS Rostering & Billing Specialist to own the end-to-end administration of participant onboarding, workforce rostering, and NDIS revenue claiming. Working in close partnership with our Participant Experience and Finance teams, this role is critical to translating approved funding into efficient schedules of support, matching participants with compliant support workers, and ensuring accurate, leakage-free billing.

The ideal candidate possesses deep working knowledge of the NDIS ecosystem, superior scheduling capabilities, and a meticulous approach to administrative and billing compliance.

Key Responsibilities

  • Participant Onboarding & Administration: Prepare participant quotations aligned with NDIS Pricing Arrangements, generate and issue Service Agreements, and ensure all mandatory documentation is completed prior to service commencement.
  • Rostering & Workforce Coordination: Develop and optimize participant rosters that balance participant goals, funding, worker skills, continuity of care, and operational efficiency. Dynamically coordinate roster changes, leaves, and vacancies while communicating updates clearly.
  • NDIS Billing & Revenue Management: Assist with end-to-end NDIS claiming for agency-managed, plan-managed, and self-managed participants. Validate delivered supports, assist with PRODA/PACE reconciliations, and actively investigate rejected or outstanding claims with Plan Managers.
  • Quality & Operational Compliance: Maintain complete accuracy across participant, scheduling, and billing platforms in alignment with NDIS Practice Standards, pricing rules, and privacy regulations.

Job Requirements

  • Sector Experience: Direct, hands-on experience in participant administration, rostering, scheduling, billing, or service coordination within the NDIS, disability, healthcare, or community services sector.
  • NDIS Expertise: Demonstrated knowledge of NDIS funding mechanisms, Service Agreements, NDIS Pricing Arrangements, and PRODA/PACE/Plan Manager claiming processes.
  • Systems Proficiency: Proven track record utilizing client management, rostering, and billing software systems alongside standard Microsoft Office tools.

  • Meticulous Attention to Detail: High accuracy in document preparation, data entry, and claim validation to eliminate revenue leakage.
  • Relationship & Communication Skills: Clear, professional written and verbal English skills to liaise effectively with participants, families, Support Coordinators, Plan Managers, and internal teams.
  • Proactive Problem Solving: Strong organizational capabilities to manage competing priorities with minimal supervision in a fast-paced environment.
