We are a growing healthcare and support services business focused on delivering high-quality care coordination and allied health support to clients and families across Australia. Our team works closely with participants, support coordinators, plan managers, and healthcare providers to ensure a smooth and supportive client experience. We are looking for a proactive and compassionate Executive Assistant who can help manage daily operations, client onboarding, referrals, and social media engagement while supporting the growth of the business.

Role Overview

We are seeking an experienced and highly organized NDIS Administrative Assistant to provide administrative, client coordination, and marketing support for a healthcare-focused business. This role requires excellent communication skills, confidence in handling client interactions, and the ability to manage multiple responsibilities in a fast-paced environment. The successful candidate will also support referral management, appointment coordination, and social media marketing initiatives.

Work Schedule: Flexible within client's business hours | Australian Eastern Time

Key Responsibilities

  • Administrative Management: Handle inbound communications, manage professional email correspondence, maintain calendars, and accurately update client profiles within the CRM system.
  • Care Coordinator Collaboration: Communicate directly with external support coordinators, manage the referral pipeline, and track candidate onboarding milestones.
  • Client Onboarding: Execute initial intake workflows with participants and families, collect necessary compliance documentation, and issue service agreements.
  • Appointment & Referral Coordination: Schedule allied health referrals, manage therapy bookings, confirm upcoming appointments, and handle cancellations or rescheduling requests.
  • Digital Content & Marketing: Develop functional social media graphics using Canva, schedule basic updates on Facebook and Instagram, execute light video editing for reels, and monitor inbox inquiries.

Requirements

  • Industry Experience: Proven track record in NDIS administration or healthcare customer support.
  • Technical Proficiency: Hands-on experience navigating dedicated healthcare CRM systems, Microsoft Office, and Google Workspace.
  • Marketing Tools: Practical experience using Canva to generate business layouts and managing professional social media pages.
  • Communication Skills: Strong command of professional English, with verified capability handling phone-based client intake scenarios confidently.
  • Operational Independence: Demonstrated ability to manage task deadlines independently within a remote workspace.
  • Preferred Upgrades: Active familiarity with ShiftCare platform management, NDIS terminology, and allied health referral workflows.
