About the Job

GBM Publishing, a division of Gaan Baksho Group Pty Ltd, is seeking a detail-oriented and experienced Music Publishing & Copyright Administration Officer to support the day-to-day administration of our music publishing catalogue.

This is a remote, part-time specialist role suitable for someone with practical experience in music publishing administration, copyright data, royalty systems and works registration processes.

The successful candidate will assist with works registration, amendments, catalogue data management, publishing metadata, royalty administration support, CWR/CAF/ACK-style file processes, society follow-ups and rights documentation.

Applicants must have relevant experience in publishing administration, copyright administration, royalty administration or music rights data management.

This is not a general music administration role. DO NOT APPLY if you are not familiar with these job responsibilities.

Key Responsibilities

  • Register new musical works with relevant collection societies, publishing systems and internal databases.
  • Prepare and review accurate work registration data, including song titles, alternate titles, lyricists, composers, publishers, ownership shares, territories and copyright details.
  • Process amendments for existing works, including corrections to writer details, publisher shares, ownership splits, titles, territories, identifiers and metadata.
  • Maintain accurate publishing and royalty data within music publishing administration, royalty accounting or rights management software.
  • Set up and update works, writers, publishers, agreements, shares, territories and royalty-related metadata.
  • Work with CWR, CAF and ACK-style file formats and processes, including registrations, acknowledgements, validation errors, rejected works and amendment workflows.
  • Review and resolve data issues involving IPI/CAE numbers, ISWC, ISRC, UPC, writer names, publisher details and ownership percentages.
  • Maintain clean and accurate catalogue records for GBM Publishing.
  • Track pending, submitted, accepted, rejected and amended works with a clear audit trail.
  • Review and organise split sheets, publishing agreements, letters of direction, songwriter declarations, lyric sheets and related rights documentation.
  • Assist with royalty statement review, title matching, unmatched income checks and missing royalty investigations.
  • Liaise professionally with songwriters, composers, rights holders, managers, labels, collection societies, distributors and internal management.
  • Provide regular updates to management on registrations, amendments, missing documentation, unresolved issues and catalogue risks.

Mandatory Requirements

The successful candidate must have:

  • Previous experience in music publishing administration, copyright administration, royalty administration, catalogue management or music rights management.
  • Practical experience using music royalty accounting, publishing administration, rights management or catalogue management software.
  • Ability to work confidently with publishing data, royalty data, works data, agreement data and rights-holder records.
  • Working knowledge of CWR, CAF and ACK-style file formats and processes, or comparable structured publishing data exchange processes.
  • Strong understanding of songwriter rights, composer/lyricist splits, publisher shares, collection society processes and rights ownership data.
  • Ability to prepare, review and correct publishing metadata accurately.
  • Ability to identify errors in writer names, song titles, IPI/CAE numbers, ISWC, ISRC, publishing shares, territories and ownership data.
  • Strong Excel / Google Sheets skills.
  • Close attention to detail and strong follow-up discipline.
  • Ability to work independently in a remote, part-time role and manage deadlines without constant supervision.
  • Professional handling of confidential agreements, royalty data and rights-holder information.

Desirable Experience

  • Experience with collection society systems such as APRA AMCOS, IPRS, PRS, BMI, ASCAP, The MLC or other relevant societies.
  • Experience with music royalty platforms, catalogue management databases, publishing administration tools or rights management software.
  • Experience working with South Asian music catalogues, including Bangla, Hindi, Urdu, Punjabi, Sinhala, Tamil or other regional music rights.
  • Understanding of master rights versus publishing rights.
  • Experience with legacy catalogues, songwriter estates, catalogue migration or rights data clean-up projects.
  • Experience reviewing royalty statements, unmatched income, claims, counterclaims or duplicate registrations.

About You

You are comfortable working remotely and part-time while taking ownership of assigned tasks, maintaining clear records and keeping management updated on progress.

Important: Applicants must have practical experience in music publishing administration, royalty systems or copyright data management. General music industry experience is not sufficient for this role.
