Job Summary:
The Loan Coordinator Assistant provides administrative and operational support to Loan Officers and Loan Coordinators. This role is responsible for ensuring loan files are complete, organized, and processed efficiently from application to closing, while maintaining excellent communication with all parties involved.
Key Responsibilities:
- Assist in managing loan files from application through closing
- Review loan applications and supporting documents for completeness and accuracy
- Collect, organize, and upload borrower documents (income, assets, credit, etc.)
- Coordinate with Loan Officers, processors, underwriters, and clients
- Follow up with borrowers and third parties for pending requirements
- Maintain accurate and up-to-date records in the CRM or loan system
- Track loan progress and ensure deadlines are met
- Prepare and send initial disclosures and other required documentation
- Handle email and phone communication professionally
- Perform other administrative tasks as needed
Qualifications:
- Bachelor's degree or relevant work experience
- At least 2–5 years experience in mortgage, banking, or financial services
- Knowledge of US mortgage process
- Experience with mortgage CRM systems (e.g., Encompass, Calyx, or similar) is a plus
- Strong attention to detail and organizational skills
- Excellent English communication skills (written and verbal)
- Ability to multitask and work in a fast-paced environment
- Proficient in Microsoft Office (Excel, Word, Outlook)
Preferred Skills:
- Familiarity with loan documentation (W-2s, tax returns, bank statements, etc.)
- Understanding of compliance and lending regulations
- Strong problem-solving and follow-up skills
