You will be required to manage client administration, loan processing support, and operational coordination functions, which may at times extend beyond the duties listed below.
Managing end-to-end client onboarding, fact finding, loan processing, lender coordination, and settlement support, while ensuring accurate documentation, compliance, and a seamless experience for clients and internal stakeholders.
This will require you to assist Finance Strategists and Associate Finance Strategists with client file management, prepare loan applications, liaise with lenders and third parties, maintain accurate CRM records, and ensure all documentation and compliance requirements are met throughout the loan lifecycle.
Other responsibilities include but are not limited to:
- Assist clients with information requests and completion of fact finds.
- Conduct client welcome and onboarding calls with a professional phone manner.
- Set up and maintain accurate client records in CRM systems including FLEX and loan lodgement platforms such as BrokerEngine.
- Ensure client identification, compliance checks, and documentation requirements are completed.
- Prepare and submit loan applications based on Finance Strategist instructions.
- Manage lender conditions, documentation requests, and application follow-ups.
- Liaise with lenders, solicitors, conveyancers, valuers, and clients to progress loan applications.
- Monitor loan application pipelines and provide status updates to Finance Strategists.
- Coordinate loan settlements ensuring all conditions are satisfied and timelines are met.
- Communicate with clients and stakeholders to ensure smooth settlement outcomes.
- Manage post-settlement documentation and record keeping.
- Maintain accurate file notes, status updates, and internal tracking records.
- Assist in improving internal workflows, processes, templates, and checklists.
- Ensure all files meet responsible lending, compliance, and audit requirements.
- Stay updated on lender policies, processes, and regulatory changes.
- Provide operational and administrative support to the team during peak periods.
You will be responsible for maintaining accurate client records, supporting efficient loan processing and settlements, ensuring compliance requirements are met, and contributing to a smooth and professional client experience.
Requirements:
- Minimum 3+ years experience in mortgage broking support, loan processing, or settlements within the Australian mortgage industry.
- Strong understanding of the end-to-end mortgage application and settlement process.
- Experience assisting clients with fact finds, onboarding, and information requests.
- Excellent verbal and written English communication skills, including conducting client calls.
- Strong attention to detail and organizational skills.
- Ability to manage multiple loan files and deadlines simultaneously.
- Proactive problem-solving skills and ability to work independently in a remote environment.
Highly Regarded
- Diploma of Finance and Mortgage Broking Management (or currently studying).
- Bachelors degree in Finance, Commerce, Business, Economics, or related discipline.
- Experience using BrokerEngine and FLEX CRM systems.
- Exposure to complex lending scenarios or strategy-led mortgage businesses.
