Job Overview:
We are seeking an execution-driven Home Asset & Inventory Specialist to support a portfolio of manufactured homes across Texas and California. The role reports to a designated Operations Leader and works closely with Facilities/Field Operations and the Revenue Team.
The specialist will take ownership of vacant homes through the lifecycle, from formal possession through Market Ready status, including homes awaiting title resolution, make-ready, rehabilitation, or an approved sale, rental, relocation, or demolition strategy.
The role will coordinate administrative, project-management, data, title, vendor, field-verification, and Revenue handoff processes while maintaining accurate inventory and status information in Rent Manager.
Key Responsibilities:
- Legal Handoff & Title Administration
- Receive formal possession, abandonment, surrender, or legal handoffs and maintain a centralized title and ownership pipeline.
- Verify ownership records, title documents, serial numbers, HUD data, tax records, liens, releases, and other supporting documentation.
- Coordinate approved title-acquisition, abandonment, surrender, lien-release, and ownership-transfer processes.
- Track required documentation, deadlines, tasks, and status histories.
- Coordinate with authorized management personnel, attorneys, title specialists, tax offices, state agencies, and other approved third parties.
- Escalate missing, conflicting, or legally complex title matters promptly.
- Administratively coordinate title and abandonment processes without making independent legal determinations or performing activities reserved for licensed or authorized professionals.
- Home Inventory & Data Management
- Maintain accurate home-level inventory data in Rent Manager, including community/site, year, make, model, size, VIN/serial number, HUD information, ownership, title status, occupancy status, physical condition, and renovation/rehab stage.
- Maintain accurate appliance inventory, target rent, sale price, RTO/lease-option pricing where applicable, target completion dates, next actions, assigned field resources/vendors, photographs, and supporting documentation.
- Identify missing or conflicting information and coordinate physical verification when system information cannot be confirmed.
- Ensure Rent Manager accurately reflects the physical status and condition of each home.
- Asset Triage & Decision Support
- Review field-audit photographs, walk-through videos, condition reports, title status, estimated repair scope and cost, market rent, potential sale price, site value, expected project duration, internal maintenance capacity, and vendor availability.
- Prepare accurate information for leadership to determine the appropriate strategy for each home, including:
- Make Ready
- Park-Funded Rehab
- Sell As-Is
- Demo / Remove
- Relocate / Other Approved Strategy
- Execute approved strategies and provide leadership with the information needed to support asset and CapEx decisions.
- Do not independently approve major CapEx or disposition decisions outside delegated authority.
- Make-Ready & Rehab Project Management
- Create or coordinate projects in Rent Manager and develop or use standardized Scopes of Work (SOWs).
- Establish approved budgets and target completion dates.
- Coordinate required materials and assign work to internal maintenance personnel or local field resources where appropriate.
- Monitor internal technician workload and project capacity and identify when additional resources are needed.
- Obtain and coordinate third-party vendor bids when required, including when internal capacity is unavailable, specialized licensing or trade expertise is required, project volume exceeds available resources, or outside execution provides a better economic result.
- Issue or coordinate approved vendor work orders and Purchase Orders.
- Track project milestones and require timestamped progress photographs and videos according to established procedures.
- Review daily or milestone progress on active projects and identify delays immediately.
- Track change orders and scope changes.
- Compare vendor invoices against approved SOWs, bids, Purchase Orders, photographs, and completion documentation.
- Escalate budget increases, missed milestones, quality issues, and contractor performance concerns.
- Verify required completion documentation before recommending project closeout.
- Maintain visibility into project scope, responsible parties, expected costs, deadlines, and completion status.
- Vacant Home & Project Pipeline Management
- Maintain a centralized portfolio-wide pipeline for vacant and non-performing homes.
- Track each home through stages such as legal/possession hold, title resolution, field assessment, triage, strategy approval, make-ready, rehab, vendor work, sale as-is, demolition/removal, final verification, and Market Ready.
- Ensure every home has a current stage, responsible person, next action, due date, budget, status notes, and supporting documentation.
- Ensure no home remains in an undefined status and that every home has a clear next action.
- Market-Ready Verification
- Confirm that physical work is complete before a home is moved to Market Ready.
- Verify required field inspections, completion photographs and videos, utilities, and basic habitability requirements where applicable.
- Confirm Rent Manager status, home specifications, title/ownership status, approved rent/sale/RTO pricing, deposit, and other approved terms.
- Confirm required marketing photographs, assets, and community/site information.
- Revenue & Marketing Handoff
- Notify the Leasing & Sales Manager and Revenue Team once a home is verified as Market Ready.
- Provide complete home specifications, approved pricing, current photographs and videos, expected availability/move-in date, and applicable rental, sale, or RTO structure.
- Ensure Rent Manager accurately reflects the home as available.
- Coordinate with Marketing so verified inventory can be advertised promptly.
- Monitor the home until it moves into the appropriate leasing or sales pipeline.
Required Skills & Qualifications:
- 3–5+ years of experience in U.S. property management, manufactured housing, asset management, construction coordination, rehab management, housing inventory, or a related field.
- Manufactured-housing experience is strongly preferred.
- Experience managing vacant-unit turns, make-readies, and/or residential rehabilitation projects.
- Experience coordinating internal maintenance personnel and outside contractors.
- Experience reviewing and enforcing Scopes of Work (SOWs).
- Experience working with budgets, vendor bids, Purchase Orders, invoices, and change orders.
- Experience reviewing field-inspection reports, photographs, and video documentation.
- Advanced experience with Rent Manager, the company's CRM/property management software, is strongly preferred, including familiarity with unit/home records, inventory and occupancy information, Service Orders, Tasks, Workflows, Automation, Vendors, Purchase Orders, Attachments, Documents, Notes/History, Reporting, Dashboards, and resident/unit status management.
- Strong Excel and Microsoft 365 skills are required.
- Experience with construction or project-management software, digital inspection tools, cloud-based photo documentation, AI-assisted workflows, and dashboard reporting is highly desirable.
- Strong project-management, organizational, analytical, and time-management skills, with the ability to manage multiple priorities and concurrent projects.
- Strong commercial judgment and problem-solving skills.
- Excellent written and spoken English.
- High attention to detail and a strong sense of ownership and accountability.
- High integrity and willingness to challenge inaccurate data, incomplete work, unsupported invoices, missed deadlines, and unfulfilled commitments.
- Ability to work independently and coordinate effectively across operations, field teams, vendors, legal/title resources, and Revenue/Marketing teams.
