About The Role

As a MMFP RECORDS, DOCUMENTS & SUPPORT MANAGEMENT TEAM HEAD, you are responsible to supervise the activities of the team and ensures the accuracy of internal and external reports in accordance with bank policies and procedures, accepted accounting principles and regulations of Bangko Sentral and other agencies of the government. Accountable in safe keeping of vital loan documents such as LRBA, Credit advice, RLA Summary and Amortization schedule for all MMFP loan products, responsible in EWT balancing and other related assistance needed by the Section and/or CCLD Consumer Loans Unit.

How you'll contribute

  • Analytical and Critical Thinking- Leverages analytical and critical thinking to support the unit's objectives, ensures compliance and accuracy in loan transactions, and proactively manages issues related to Loan transaction, taxation, documentation, and risk assessment.
  • Leadership/Management- Supports the Section and Unit Head through active involvement and administrative functions for Business Continuity Plan, evaluation of staff performance, scheduling of vacation leaves, preparation of competency gaps, implementation of job rotation/staff cross-posting and counseling and implementation of disciplinary action for erring employee. Supervises staff and enforces company policies with respect to work assignments, employee performance, training, attendance, discipline, and other personnel and administrative policies to ensure people's growth and development, acquire necessary skill set and ensure that core values are embedded to subordinates. Mentors staff through coaching, cross posting, training for proper guidance, development of skillset and career pathing to ensure that their growth and development are carefully monitored. Monitors the progress of newly onboarded employees on the loan processes, enterprise systems, and organization culture for them to be fully equipped at the beginning of their career in Security Bank. Initiates and assist other Team Heads in resolving problems related to system enhancements or cleanups when needed.
  • Client Relationship Management- Monitors and ensures that all requests and queries from other units/ departments, branches and borrowers/ clients are attended to by the staff immediately and accurately with the agreed SLA to provide better client service. Discusses to the Business Heads and Marketing Team Heads issues encountered in loan booking and payment processing to ensure that the transaction will still be processed as expected. Responds to stakeholder issues in a manner that is objective, respectful, fair, and focused in resolving the issues while avoiding personal attack.
  • Process Improvement & Project Management- Identifies the weaknesses in the loan processes and formulates recommendations to enhance the process and improve their efficiency and effectiveness at work. Initiates collaboration with business and support counterparts to harmonize processing, immediately address issues and ideas on system and process enhancements needed to attain improved TAT, develop efficiency and customer service. Creates new ideas and projects for the unit as well as the department to challenge, develop and simplify the existing processes without sacrificing control procedures to achieve desired result/output. Initiates process improvements, automation and system enhancements by making sure that specs are complete, implemented on time and within budget to promote scalability and support the business growth better.
  • Governance, Control and Risk Management - Reviews, authorize and validate the transactions by ensuring that documents submitted are free from any alterations or defects in accordance with the approved terms and conditions. Ensures that unit submits business and operational, compliance-related reportorial requirements within the set deadlines. Supervises and controls the Team by ensuring that the operational and control measures & proper call back procedure are strictly implemented and complied with to prevent losses and complaints. Acts that all tax related processes (EWT and BIR form 2307), Insurance premium handling Are properly monitored, timely reported via WTMS and posted accordingly to prevent unnecessary penalties and loss due to non-filing or delay on remittance. Ensures that all other booking processes such as document scanning (go green project), digital file safekeeping (Tier and EDMS) Are properly monitored, and timely performed to prevent unnecessary loss of documents, save on supplies and archiving cost. Supervise and controls the documentation team by ensuring that the operational and control measures are strictly implemented and complied with to prevent losses, audit findings and complaints. Ensure proper monitoring of GL balances which includes Due to/from BSP, Misc. Liabilities and RCOCI and other accounts, reversal of floats to eliminate possible Audit Exceptions or adverse findings from both internal and external auditors. Ascertains that Promissory notes/Disclosure Statement (PNDS) and other vital documents are prepared, notarized and safekept by the Custodian and transmitted to concerned Units within the agreed turn-around-time (TAT) to comply with SLA
  • Quality Orientation- Ensures efficient implementation and proper loan processing by ensuring that all transactions received for the day are processed and encoded in the Retail Lending system to comply with established Bank policies and government regulations including agreed Service level of Agreement (SLA) and Turn-Around-Time (TAT). Reviews and signs Statement of Accounts, Loan Certification, Accounting Tickets, Manager's check, official receipts, payment slips and other pertinent documents ensuring completeness and accuracy.

  • 2-4 years of relevant experience in Banking and Finance, Business Administration, Accounting

  • Good analytical ability. Proactive and possesses continuous improvement mindset.

  • Flexible to work overtime, extended hours and during weekends and holidays.
