We are seeking a professional, detail-oriented, and patient-focused Medical Virtual Assistant to support a busy ophthalmology practice. This role is responsible for managing patient scheduling, appointment coordination, insurance verification, and prior authorization activities to ensure seamless patient access and efficient clinic operations.
The ideal candidate possesses excellent communication skills, strong attention to detail, and experience working in a healthcare scheduling environment. Proficiency with MODMED (Modernizing Medicine) EMR is required. Previous experience in ophthalmology is highly preferred but not required.
Key Responsibilities
Scheduling & Patient Access
- Answer inbound patient calls in a professional, courteous, and timely manner.
- Schedule new and established patient appointments following provider scheduling protocols.
- Manage appointment rescheduling requests and cancellations while minimizing schedule gaps.
- Maintain provider schedules to maximize patient access and clinic efficiency.
- Monitor appointment waitlists and proactively offer earlier openings to patients when available.
- Confirm appointments and provide pre-visit instructions and preparation details.
- Coordinate scheduling across multiple providers, specialties, and clinic locations when applicable.
- Return voicemail messages and scheduling inquiries promptly.
- Ensure accurate appointment documentation and follow-up communication.
Insurance Verification & Prior Authorizations
- Verify patient insurance eligibility, coverage, and benefits prior to appointments.
- Review referral requirements and obtain all necessary documentation before scheduled visits.
- Secure prior authorizations for consultations, diagnostic testing, procedures, imaging, and specialty services as required by insurance carriers.
- Communicate authorization status and insurance requirements to patients and clinical staff.
- Document verification and authorization activities accurately within MODMED EMR.
- Identify and resolve insurance-related scheduling barriers before patient appointments.
- Follow up with insurance carriers, provider offices, and patients regarding authorization requests and pending referrals.
Patient Communication & Customer Service
- Deliver exceptional customer service and create a positive patient experience during every interaction.
- Answer patient questions related to scheduling, referrals, insurance requirements, and appointment preparation.
- Route clinical concerns, medication refill requests, and urgent patient issues to the appropriate clinical team members.
- Verify and update patient demographic, contact, and insurance information.
- Maintain professionalism, empathy, and confidentiality when handling patient communications.
EMR Documentation & Administrative Support
- Utilize MODMED (Modernizing Medicine) EMR to document patient interactions accurately.
- Create and manage telephone encounters, scheduling tasks, and patient messages.
- Maintain accurate patient records and appointment information.
- Ensure all documentation complies with HIPAA regulations and practice policies.
- Assist with administrative projects and workflow initiatives as assigned.
Qualifications
- Minimum 2 years of experience in medical scheduling, patient access, or healthcare administrative support.
- Hands-on experience using MODMED (Modernizing Medicine) EMR.
- Experience with insurance verification and prior authorization processes.
- Strong phone etiquette and patient communication skills.
- Excellent organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Proficiency in Microsoft Office and healthcare software systems.
- High attention to detail and commitment to accuracy.
- Ability to work independently in a remote environment.
- Previous ophthalmology or optometry scheduling experience.
- Familiarity with ophthalmic diagnostic testing, procedures, and specialty referrals.
- Experience supporting multi-provider medical practices.
- Knowledge of commercial, Medicare, and Medicaid insurance plans.
