This is a remote position.

Virtual Rockstar is hiring a Medical Virtual Assistant on behalf of a busy specialty medical practice to support front desk operations, primarily by handling high-volume incoming phone calls and assisting with patient scheduling. This role is ideal for someone with strong customer service skills, EHR experience, and the ability to think critically and problem-solve independently.

This position plays a key role in giving the in-person team breathing room by serving as the first point of contact for many incoming calls.

Key Responsibilities

Front Desk & Phone Support

  • Answer high-volume incoming phone calls as the first point of contact

  • Assist patients with scheduling appointments

  • Confirm and cancel appointments as requested

  • Respond to patient inquiries professionally and clearly

  • Ensure calls are handled efficiently and routed appropriately when needed


Patient Scheduling & Records

  • Manage appointment calendars

  • Maintain accurate patient records in the EHR

  • Ensure patient privacy and confidentiality

  • Assist with basic administrative coordination

Note: The goal is for incoming calls to ring to the Virtual Assistant first, with overflow directed to the in-person team if needed.

  • Veradigm Practice Management (PM)

  • Veradigm Electronic Health Record (EHR)

  • Epic EHR (via contract access)

  • Microsoft Teams

  • Email and phone systems



Requirements

  • Prior experience in a medical front desk, patient coordination, or similar healthcare support role

  • Comfortable handling high call volume in a fast-paced environment

  • Strong critical thinking and problem-solving skills

  • Professional written and verbal communication

  • Ability to work independently while collaborating with a U.S.-based team

  • Reliable internet connection and remote work setup

    • Easy to understand on the phone (clear spoken English)

    • Experience working with an electronic health record (EHR/EMR)

    • Strong customer service skills
