Job Description

Job Overview

Our client is looking for a detail-oriented Medical Transportation Coordinator to manage scheduling and coordination between drivers and clients for a Medicaid transportation business. This role is central to ensuring clients receive timely, safe, and reliable transportation. The ideal candidate is calm under pressure, highly organized, and comfortable communicating directly with both drivers and clients. Light bookkeeping and administrative support will also be part of the role, with training provided.

Schedule

  • Monday - Friday, 9:00 AM - 5:00 PM MST (40 hours per week)

Responsibilities

  • Coordinate daily transportation schedules between drivers and clients, ensuring timely pickups and drop-offs.
  • Confirm client appointments via calls and texts, and update the confirmation spreadsheet accordingly.
  • Serve as a point of contact for clients regarding transportation needs, schedule changes, or concerns.
  • Communicate directly with drivers to relay client information, route details, and last-minute schedule adjustments.
  • Monitor trips in real time and proactively address delays, cancellations, or emergencies.
  • Troubleshoot scheduling conflicts and find solutions that minimize disruption to clients.
  • Escalate urgent or sensitive situations to management promptly.
  • Enter and categorize bank statement transactions in QuickBooks.
  • Support credentialing portal updates, annual renewals, and monthly submissions.
  • Assist with other light administrative tasks as needed.

Requirements

  • Comfortable managing real-time schedule changes and client communication under pressure.
  • Strong organizational skills with the ability to manage multiple recurring tasks.
  • Clear, professional communication skills for client-facing calls and texts.
  • Comfortable working independently with minimal supervision after training.

Qualifications

  • Prior dispatch, scheduling, or coordination experience preferred (home care, healthcare, or transportation industry a plus).
  • Willingness to be trained on dispatching systems for a Medicaid transportation business.
  • Basic bookkeeping/QuickBooks familiarity (bank statement categorization, data entry) is a plus.
