Job Description

We are seeking an experienced and highly organized Patient Scheduling Coordinator to join our healthcare team. This role plays a vital part in ensuring seamless patient scheduling, efficient clinic operations, and exceptional patient experiences. The ideal candidate has strong healthcare scheduling experience, excellent communication skills, and the ability to manage high-volume patient interactions in a fast-paced medical environment.

Key Responsibilities

  • Schedule and coordinate patient appointments across Orthopedics, Sports Medicine, and Physical Therapy practices.
  • Verify patient insurance coverage, referrals, and authorizations prior to scheduling appointments.
  • Manage high-volume inbound and outbound calls with professionalism, efficiency, and empathy.
  • Utilize RingCentral or similar communication platforms to coordinate patient communications, manage calls, and facilitate messaging.
  • Communicate appointment details, pre-visit instructions, and follow-up requirements to patients.
  • Collaborate closely with physicians, medical assistants, therapists, and administrative staff to optimize provider schedules and patient flow.
  • Maintain accurate patient records and scheduling information within the practice management system and EMR/EHR platforms.
  • Process appointment cancellations, rescheduling requests, and urgent scheduling needs while maintaining schedule integrity.
  • Address patient inquiries and concerns promptly, providing outstanding customer service and support.
  • Ensure compliance with organizational policies, patient privacy regulations, and scheduling procedures.

Qualifications

  • Minimum of 3 years of experience as a Patient Scheduling Coordinator or in a similar healthcare administrative role.
  • Experience supporting Orthopedics, Sports Medicine, Physical Therapy, or related medical specialties.
  • Strong knowledge of insurance verification, referrals, prior authorizations, and healthcare scheduling processes.
  • Proficiency with EMR/EHR systems and medical scheduling software.
  • Experience using RingCentral or similar call management and communication platforms.
  • Excellent verbal and written communication skills.
  • Strong organizational, multitasking, and problem-solving abilities.
  • Ability to work effectively in a fast-paced, high-volume healthcare environment.
  • Strong attention to detail and commitment to patient satisfaction.
  • Amenable to working during U.S. business hours.
