Job Description

We are seeking an experienced Medical Scheduler to join our team supporting a pediatrics practice. This role serves as the first point of contact for patients calling to schedule appointments, requiring strong phone etiquette, accurate categorization of appointment types, and the judgment to identify when a call needs to be escalated to a clinical triage team. The ideal candidate has hands-on eClinicalWorks (ECW) experience and a background in pediatric scheduling.

Key Responsibilities

  • Answer inbound patient calls promptly and professionally to schedule, reschedule, or cancel appointments
  • Accurately categorize appointment types (well-child visits, sick visits, follow-ups, immunizations, physicals, etc.) to ensure correct provider and time-slot assignment
  • Identify calls requiring clinical judgment (urgent symptoms, medication questions, triage-level concerns) and forward them appropriately to the nursing/triage team
  • Verify and update patient demographic and insurance information at time of scheduling
  • Schedule appointments accurately within eClinicalWorks (ECW), including provider-specific scheduling templates and blocks
  • Communicate clearly with parents/guardians regarding appointment prep, required documents, or pre-visit instructions
  • Manage scheduling conflicts, waitlists, and same-day/urgent appointment requests
  • Maintain patient confidentiality and comply with HIPAA guidelines at all times
  • Document all calls and scheduling actions accurately in the EMR
  • Coordinate with front office and clinical staff to keep schedules optimized and minimize gaps or overbooking

Qualifications

  • Minimum 1–2 years of experience as a medical scheduler or front desk/call center role in a healthcare setting
  • Hands-on experience with eClinicalWorks (ECW) required
  • Prior experience in a pediatrics practice or scheduling pediatric appointments strongly preferred
  • Strong understanding of appointment types and ability to triage calls appropriately
  • Excellent verbal communication and active listening skills, especially when speaking with parents/caregivers
  • Comfortable in a high-call-volume environment
  • Working knowledge of HIPAA and patient privacy standards
  • Strong attention to detail and organizational skills
