Location: MarQuee Mall, Pampanga

Shift: 11:00 PM 8:00 AM, Monday to Friday

Set-up: Onsite

Job Summary:

Embrace the opportunity to be a driving force in both healthcare and legal services as a Medical Records Specialist at our prestigious U.S. law firm. As an essential team member, you will direct a specialized unit focused on the precise collection, verification, and secure management of medical recordskey components for claim evaluation. Your expertise in organizational acumen, technology, and communications will be highly leveraged as you liaise between legal staff, healthcare providers, and external partners. Key Responsibilities:

  • Retrieve relevant medical records needed to evaluate potential claims.
  • Handle facility-specific authorizations on a national level to comply with regional and federal regulations.
  • Develop and follow efficient workflows for medical records retrieval.
  • Coordinate with vendors and external parties to troubleshoot disruptions in the medical records retrieval process.
  • Submit timely requests for medical records and billing data to healthcare providers.
  • Review received records and bills for accuracy, identifying any missing information, providers, or service dates.
  • Create and maintain a comprehensive medical index detailing pertinent provider and service date information.
  • Input data into both an index and case management software for streamlined access and case development.
  • Collect, verify, and update patient information in electronic health record (EHR) systems and paper records.
  • Ensure the accuracy, completeness, and confidentiality of patient medical records in accordance with HIPAA and legal regulations.
  • Collaborate with healthcare providers to obtain and input necessary medical documentation within the legal context.
  • Process requests for medical records from patients, healthcare professionals, and legal entities while adhering to legal guidelines.
  • Maintain both electronic and paper filing systems, ensuring efficient record retrieval and secure management.
  • Review medical records for accuracy, proper coding, and adherence to quality assurance standards.
  • Assist in preparing medical charts for legal proceedings, appointments, procedures, and consultations.
  • Follow established protocols for record retention, release, and disposal to meet legal and regulatory requirements.
  • Contribute to audits and quality improvement initiatives related to medical records management.
  • Carry out general office tasks, including typing, operating office machinery, and sorting mail.
  • Accurately and promptly submit, process, and document invoices for medical records and bills.
  • Perform other duties as assigned to support the firm's efficient operation.

Requirements:

  • Educational Requirements: An Associate's degree, certificate, or equivalent work experience in a related field is preferred.
  • Experience: At least 2 years of experience in a personal injury-related law firm is strongly preferred.
  • Specialized Knowledge: An understanding of standard administrative and clerical procedures, including word processing, file and records management.
  • Technical Skills: Proficiency in Microsoft Word, Excel, and Outlook, with extensive computer and database expertise.
  • Communication Abilities: Strong written and verbal communication skills.
  • Organizational Capacity: High organizational skills are required, with the ability to multitask, prioritize, and work in a fast-paced environment with minimal supervision.
  • Additional Preferences:
  • Familiarity with medical terminology, regulations, and HIPAA compliance is advantageous.
  • Experience in medical coding/billing is a strong plus.
