Role Overview

We are looking for highly organized and detail-oriented Medical Data Entry & Operations Coordinators to support critical laboratory operations. This role plays a key part in ensuring timely and accurate processing of laboratory results that directly impact patient care. You will work within a structured, shift-based operations environment supporting continuous 24/7 coverage.

As the organization grows and automation increases, your responsibilities will gradually shift from manual data entry toward system monitoring, quality assurance, and operational oversight.

Hours: 40 hours per week per assistant

Work Arrangement: Must be open to shifting schedules, including nights, weekends, and rotating coverage

24/7 Coverage Model (Sample Structure)

To ensure continuous operations, the team follows a rotating 24/7 shift system with 5 assistants, each working 8-hour shifts with no overlaps (one person per shift).

Standard Daily Coverage (8-hour shifts)

  • Shift 1: 12:00 AM – 8:00 AM
  • Shift 2: 8:00 AM – 4:00 PM
  • Shift 3: 4:00 PM – 12:00 AM

Each shift is fully covered by one assigned assistant per day.

The staffing model consists of three core shift-assigned assistants, while two additional assistants rotate across shifts and rest days to provide flexibility and continuous 24/7 coverage.

Responsibilities

  • Manually enter laboratory results received via fax into the laboratory information system with a high level of accuracy
  • Continuously monitor the laboratory information system to ensure all results are processed within required turnaround times
  • Escalate missing, delayed, or incomplete results to the appropriate personnel and track resolution
  • Review and verify data accuracy to maintain quality and compliance standards
  • Assist with dispatching and scheduling coordination for phlebotomist field teams
  • Track and manage inventory levels for blood and urine collection supplies across multiple locations
  • Maintain operational spreadsheets, logs, and documentation systems
  • Support process improvement initiatives as automation and workflow enhancements are implemented
  • Transition from primarily manual data entry responsibilities to system monitoring and quality assurance functions as processes evolve
  • Act as a receptionist for incoming calls (minimal)

Requirements

  • Previous experience in healthcare administration, medical data entry, or a related healthcare support role
  • Strong understanding of medical terminology and healthcare administrative processes
  • HIPAA certification and knowledge of healthcare privacy and compliance requirements
  • Experience working with laboratory information systems, EMRs, EHRs, or similar healthcare software platforms
  • Experience with inventory tracking, scheduling coordination, or operational support functions
  • Comfortable learning and working within custom software platforms
  • Must be open to shifting schedules, including overnight and weekend coverage
