NOTICE

This role is STRICTLY an administrative and executive support position within a healthcare/mental health organization AND NEAR-NATIVE ENGLISH SPEAKING SKILLS.

You must have at least 2 years of experience working as an Executive Assistant, Administrative Assistant, or Healthcare Administrative Assistant, supporting leadership, clinicians, or business owners within a healthcare or mental health setting.

This position requires excellent organization, strong communication skills, reliability, and professionalism.

Because this role may involve interacting with providers, clients, and internal team members, candidates must have:

  • Near-native English fluency
  • A professional and upbeat personality
  • Strong screen presence and communication skills when speaking with clients or partners

We are currently seeking a highly organized, proactive, and dependable Healthcare Executive Assistant to support leadership with administrative operations and coordination.

About the Role

This is a full-time remote position (32–40 hours per week) focused on executive and healthcare administrative support. You will assist leadership and clinicians with scheduling, communication, documentation, and operational coordination to ensure the organization runs smoothly.

The ideal candidate is detail-oriented, proactive, highly organized, and comfortable managing multiple administrative tasks independently. This role may also involve limited client-facing communication, so professionalism and strong communication skills are essential.

PrimaryResponsibilities

• Manage calendars, appointments, and meeting scheduling for leadership and providers

• Assist with email management and professional client communication

• Organize and maintain digital files, documents, and internal records

• Coordinate internal communication and follow up on administrative tasks

• Assist with form submissions, document preparation, and reporting

• Support general healthcare administrative processes

• Assist with operational coordination and administrative workflows

• Conduct light research and assist with special projects as needed

• Track deadlines, tasks, and operational priorities

• Provide reliable day-to-day administrative support to leadership

Bonus Experience (Highly Preferred)

Experience with insurance verification, provider credentialing, or medical billing

Prior experience working with mental health clinics, therapy practices, or healthcare organizations

Requirements

• Minimum 2 years experience in an Executive Assistant, Administrative Assistant, or Healthcare Administrative role

• Prior experience working in healthcare or mental health environments

• Near-native English fluency (written and spoken)

• Professional, upbeat personality with strong screen presence

• Excellent organization, time management, and multitasking skills

• Strong attention to detail and ability to follow processes

• Proficiency with Outlook and Google Workspace (Docs, Sheets, Calendar, Gmail)

• Comfortable using cloud storage platforms (Google Drive, Dropbox)

• Reliable internet connection and quiet home workspace

• Professional communication and consistent attendance
