Job Description

We are seeking a detail-oriented and organized Medical Billing Administrative Assistant to join our team. In this role, you will bridge the gap between front-desk administrative operations and back-end revenue cycle management. The ideal candidate will handle daily patient interactions, schedule appointments, verify insurance benefits, accurately process Explanation of Benefits (EOB) forms to ensure steady clinic cash flow and compliance, and answer patient account inquiries from various teams.

Key Responsibilities

EOB & Claims Processing

  • Review and analyze Explanation of Benefits (EOB) and Electronic Remittance Advices (ERA) from insurance payers.
  • Post insurance payments, adjustments, and write-offs accurately into the electronic health record (EHR) system.
  • Identify, investigate, and appeal denied or underpaid claims based on EOB reason codes.
  • Generate and issue accurate patient statements for remaining balances (deductibles, co-insurance, copays) after EOB processing.

Insurance & Patient Administration

  • Verify patient insurance eligibility, coverage limits, and benefits prior to scheduled appointments.
  • Obtain prior authorizations from insurance providers for required medical procedures and specialist visits.
  • Answer inquiries regarding billing statements, insurance coverage, and EOB discrepancies with empathy and clarity.
  • Set up patient payment plans and manage collections for past-due accounts in accordance with clinic policies.

General Office Support

  • Manage front-desk operations, including patient check-in/check-out, answering phone calls, and responding to emails.
  • Schedule and confirm patient appointments using the clinic management software.
  • Maintain electronic medical records (EMR) ensuring absolute data integrity and organization.

Qualifications and Requirements

Education & Experience

  • Any Bachelor's degree. Graduate of any medical-related course is an advantage.
  • At least 1 years of experience in medical billing, medical front-desk administration, or healthcare revenue cycle management.

Technical Skills

  • Proven proficiency in reading, interpreting, and posting Explanation of Benefits (EOB) forms.
  • Hands-on experience with Electronic Medical Record (EMR) or billing platforms (e.g., Tebra, Jane App, Kareo, or equivalent).
  • Strong computer skills, including Microsoft Office (specifically Excel for financial tracking) and Google Workspace.
  • Basic understanding of medical terminology, ICD-10, and CPT coding.

Soft Skills & Compliance

  • Strict compliance with data privacy regulations (such as HIPAA or local data privacy laws) to safeguard sensitive patient health information.
  • Exceptional attention to detail with a high degree of accuracy in data entry and mathematical calculations.
  • Strong verbal and written communication skills for professional interfacing with patients, physicians, and insurance representatives.
