Virtual Rockstar is seeking a highly organized, proactive, and experienced Medical Biller & Administrative Coordinator to support our client's Occupational Therapy and Physical Therapy practice in Colorado. This remote, full-time role requires excellent communication, strong problem-solving skills, and the ability to work independently while managing essential billing, scheduling, and administrative workflows.
ResponsibilitiesMedical Billing & Insurance Management
Manage the full end-to-end billing cycle for OT/PT services.
Handle Medicaid billing, including submitting claims, correcting errors, and navigating state-specific processes.
Process, track, and submit prior authorization requests.
Follow up on unpaid, delayed, or denied claims.
Ensure accurate posting of payments and reconciliation of patient accounts.
Maintain compliance with CPT/ICD-10 coding requirements and payer billing regulations.
Run weekly and monthly financial and billing reports for management review.
Administrative & Patient Coordination
Call new patients to schedule initial evaluations and collect required intake information.
Communicate with physician offices to obtain signed plans of care, referrals, and documentation needed for billing.
Follow up routinely with referral sources and physician offices via email and phone.
Transfer patient data, notes, and schedules from CRM to EMR systems accurately.
Provide clear explanations of insurance benefits to patients and address billing questions.
Process Management & Communication
Follow current SOPs (Standard Operating Procedures) and update them as needed to improve efficiency and accuracy.
Communicate with the practice owner every morning (start-of-day check-in) and every evening before logging off.
Work independently with minimal supervision while maintaining accountability and consistent productivity.
Proven experience as a Medical Biller in a healthcare setting (OT/PT experience strongly preferred).
Experience with Medicaid billing, prior authorizations, and appeals.
Proficiency with HelloNote EMR, Go High Level, and Inovalon preferred.
Strong understanding of CPT/ICD-10 coding and insurance verification.
Excellent communication skillsverbal, email, and phoneespecially when working with referral sources and physician offices.
Highly organized, detail-oriented, and capable of managing multiple priorities independently.
Reliable internet connection and a dedicated home office setup.
Ability to work full-time during Colorado business hours.
