Job Description
About the Role
We are seeking an experienced, detail-oriented, and highly proactive Medical Administrative Assistant specializing in Psychiatric Medication Coordination.
In this role, you will serve as a vital backbone to our clinical practice, managing complex psychiatric medication workflows, patient inquiries, insurance prior authorizations, and practice billing. We are looking for a critical thinker who takes complete ownership of their tasks, thrives in an evolving practice environment, and can work independently without needing step-by-step direction.
Key Responsibilities:
- Psychiatric Medication Management & Coordination: Oversee medication workflows, handle prescription refills, coordinate psychiatric medication orders, and perform Prescription Drug Monitoring Program (PDMP) checks.
- Pre-Charting & Clinical Support: Prepare patient charts prior to appointments, ensuring all psychiatric medical histories and relevant documentation are up-to-date.
- Prior Authorizations & Insurance Verification: Drive medication prior authorizations to completion and verify patient insurance coverage in a timely manner.
- Practice Billing & Credentialing: Manage psychiatric medical billing, follow up on unpaid claims, and support provider credentialing processes.
- Front Desk & Inbox Management: Handle incoming/outgoing patient phone calls, scheduling/rescheduling appointments, answering inquiries, and managing practice emails efficiently.
- Workflow Optimization: Proactively identify practice inefficiencies and suggest actionable improvements to streamline operations.
Qualifications & Requirements:
NON-NEGOTIABLE REQUIREMENT:
- Direct Psychiatric Medication Experience: You MUST have hands-on, direct experience managing psychiatric medications (e.g., handling psych medication refills, medication coordination, psychiatric pre-charting, or managing psychiatric pharmacy workflows). General medical administrative/medication experience alone will not qualify.
Preferred Qualifications:
- EHR Expertise: Experience with Charm EHR is highly preferred.
- Behavioral Health Background: Prior experience in a psychiatric, mental health, or behavioral health practice setting.
- Administrative Mastery: Proven experience with medical billing/claims follow-up, provider credentialing, and complex prior authorizations.
Ideal Candidate Profile & Working Style
We prioritize candidates who exhibit the following traits:
- Strong Critical Thinker: Able to solve problems independently, evaluate information carefully, and make sound recommendations within your scope.
- Proactive & Self-Driven: Takes initiative rather than waiting for instructions; comfortable taking complete ownership of workflows.
- Adaptable & Resilient: Thrives in a growing, evolving healthcare practice setting and adapts seamlessly to changing priority needs.
- Confident Leader: Possesses the confidence to manage administrative operations independently and offer process improvement suggestions.
