Medical Administrative Assistant – Neurology & Sleep Clinic (Onsite)
About the Role:
We are seeking a highly organized and detail-oriented Medical Administrative Assistant to support a busy Neurology & Sleep Clinic. In this role, you will be responsible for handling a wide range of administrative and patient coordination tasks, including prior authorizations, appointment reminders, insurance verification, medical records management, and patient communication.
The ideal candidate has experience working in a healthcare setting, is comfortable managing high-volume patient interactions, and possesses strong communication and multitasking skills. This position plays a critical role in ensuring smooth clinic operations and delivering excellent patient support.
Key Responsibilities:
• Prior Authorizations: Process and manage prior authorizations for medications, MRI/CT/PET scans, and trigger point injections.
• Appointment Reminder Calls: Conduct outbound reminder calls to patients at least 2–3 days prior to appointments to confirm schedules and provide necessary instructions.
• Medical Records Management: Maintain, organize, and update patient medical records while ensuring accuracy and HIPAA compliance.
• Insurance Verification: Verify patient insurance eligibility, benefits, and coverage prior to appointments and procedures.
• Patient Billing & Follow-Up: Contact patients regarding billing concerns and provide follow-up communication for Alzheimer infusion treatments.
• Global Referral Coordination: Manage BCN (Blue Care Network) referrals for office visits, imaging, and additional testing.
• Phone Support & Scheduling: Handle incoming calls during busy clinic hours, take detailed messages for staff, assist with scheduling, and provide general patient support.
• Provider Coordination: Communicate effectively with providers and clinic staff regarding patient concerns, scheduling updates, and authorization statuses.
What We Are Looking For (Requirements):
• Experience: Minimum of 1 year of experience in a medical administrative, virtual assistant, or healthcare support role.
• Task Familiarity: Hands-on experience with prior authorizations, insurance verification, appointment scheduling, medical records management, and patient communication.
• Communication Skills: Strong verbal and written English communication skills with the ability to professionally interact with patients, providers, and insurance companies.
• Technical Familiarity: Comfortable using EMR/EHR systems, healthcare scheduling tools, phone systems, and insurance portals.
• Organization & Multitasking: Ability to manage multiple priorities in a fast-paced clinical environment while maintaining attention to detail.
• Compliance: Strong understanding of HIPAA guidelines and patient confidentiality requirements.
• Onsite Requirement: Must be able to work onsite.
