Roles and Responsibilities:

  • Perform accurate and timely administrative tasks to support clinical operations
  • Manage data entry, document preparation, and record updates using medical practice software
  • Handle incoming and outgoing emails and general correspondence
  • Manage appointment scheduling, including bookings, cancellations, and rescheduling
  • Ensure patient records are complete, updated, and compliant
  • Respond to patient and referrer enquiries in a timely and professional manner
  • Liaise with internal staff and external stakeholders
  • Maintain quality control of medical records and systems
  • Ensure strict confidentiality and privacy of patient and practice information
  • Support patient preparation for consultations, treatments, and referrals

Required Experience:


  • At least 2–3 years of experience in administration or reception roles
  • Experience working in a fast-paced, high-volume environment
  • Proven ability to multitask and manage competing priorities
  • Experience handling customer or patient-facing communication

Minimum Qualifications:


  • Relevant experience in Administration, Office Support, or similar roles
  • Strong knowledge of Microsoft Office/365 applications
  • Excellent written and verbal communication skills

  • High level of accuracy and attention to detail
  • Strong customer service orientation
  • Ability to work effectively under pressure and changing priorities
  • Professional, reliable, and confidential in handling sensitive information

Proficient With:


  • Microsoft Office / Microsoft 365
  • Email and calendar management tools
  • Medical or administrative systems (preferred)

Experience Advantage:


  • Experience in a medical or healthcare setting
  • Familiarity with medical practice software (e.g., Gentu)
  • Exposure to specialist clinics or allied health environments
