We are seeking a reliable, organized, and detail-oriented
Medical Administrative Assistant to support a busy
Behavioral Health practice. This role is responsible for providing day-to-day administrative and front-office support, including patient communication, appointment coordination, documentation management, data entry, and collaboration with clinical and billing teams.
The ideal candidate has prior healthcare administrative experience, excellent communication skills, and hands-on experience working within the
SimpleWorks EMR system. Experience in Behavioral Health or Mental Health is strongly preferred.
Key Responsibilities
- Provide administrative support to providers, clinical staff, and practice leadership.
- Answer incoming phone calls, respond to messages, and address patient inquiries in a professional and timely manner.
- Assist with patient scheduling, appointment changes, confirmations, cancellations, and rescheduling.
- Enter and update patient demographic, insurance, and contact information accurately in SimpleWorks EMR.
- Maintain accurate, organized, and up-to-date electronic patient records.
- Collect, review, and process patient forms, consents, and other required documentation.
- Coordinate communication between patients, providers, clinical staff, and external healthcare partners.
- Monitor provider schedules and assist in maintaining an efficient appointment flow.
- Support referral processing, prior authorizations, and other administrative requirements as needed.
- Assist the billing team by ensuring patient and insurance information is complete and accurate.
- Obtain, organize, and manage medical records and supporting documentation.
- Follow up with patients regarding missing forms, documentation, insurance information, or other administrative requirements.
- Perform general administrative tasks including data entry, scanning, filing, document management, and correspondence.
- Maintain strict patient confidentiality and ensure compliance with HIPAA regulations.
- Deliver a professional, compassionate, and patient-centered experience at every point of contact.
Qualifications
- Minimum of 2 years of experience in a medical office, healthcare administration, or a similar healthcare setting.
- Hands-on experience with SimpleWorks EMR is required.
- Strong computer proficiency and accurate data-entry skills.
- Excellent verbal and written communication skills.
- Strong attention to detail and organizational abilities.
- Ability to manage multiple priorities in a fast-paced healthcare environment.
- Professional, empathetic, and patient-focused communication skills.
- Working knowledge of HIPAA and patient confidentiality standards.
- Ability to work independently while collaborating effectively with providers, clinical staff, and billing personnel.
- Previous experience in Behavioral Health, Mental Health, Psychiatry, Psychology, Counseling, or Therapy practice settings.
- Experience with insurance verification, referrals, and authorizations.
- Familiarity with medical terminology related to Behavioral Health services.
- Experience supporting remote or multi-provider healthcare practices.
